The Administrative Support Specialist provides comprehensive administrative and operational support to ensure the efficient functioning of the organization. This role is responsible for coordinating office activities, managing documentation, maintaining records, supporting internal teams, and delivering high-quality administrative services while maintaining confidentiality and professionalism.
Key Responsibilities- Provide administrative support to management and various departments.
- Prepare, edit, and maintain reports, correspondence, presentations, and other business documents.
- Manage calendars, schedule meetings, and coordinate appointments and travel arrangements.
- Organize and maintain electronic and physical filing systems.
- Process incoming and outgoing correspondence, mail, and courier services.
- Maintain accurate records, databases, and confidential documentation.
- Assist with data entry, record updates, and document management.
- Coordinate office supplies, equipment, and vendor services.
- Support onboarding activities and maintain employee administrative records.
- Assist with invoice processing, expense reports, and petty cash reconciliation.
- Respond to internal and external inquiries in a professional and timely manner.
- Ensure compliance with company policies, procedures, and administrative standards.
- Support special projects and perform other administrative duties as assigned.
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- 2–4 years of experience in administrative support, office administration, or a similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Experience with document management systems and office software is an advantage.
- Strong written and verbal communication skills.
