POSITION SUMMARY
This position provides support to human resources functions, including payroll, benefits, and/or employee records. Processes timekeeping and payroll reports and reconciles pay deductions such as benefits with benefit-provider invoices. May respond to routine questions on HR policies. This person must be proficient in Microsoft Word and Excel spreadsheet. Prior experience with Workforce GO (or other UKG software) and/or Acumatica is beneficial. Strong communication skills are essential; this position typically interfaces with employees regularly. Must have acute attention to detail and deadlines, and strict adherence to confidentiality.
This is a Temporary Full-Time position with the option for becoming a Full-Time Permanent position.
ESSENTIAL JOB FUNCTIONS

Payroll Specialist
- Maintain at all times a professional and courteous demeanor with all clients, vendors, employees and guests of Samuel Engineering; serve as an ambassador of the company.
- Process verifications of employment.
- Maintaining confidential files in accordance with record-keeping policies and regulations.
- Ensure company practices are HIPAA-compliant.
- Payroll processing.
- Setup bi-weekly payroll journal entry.
- Payroll liabilities reconciliation.
- Benefits invoices reconciliation and invoice processing.
- Ensuring correct benefits deductions, earnings and gross ups integrate with payroll.
- COBRA administration.
- Process garnishment orders.
- Process employee advances and associated reconciliation.
- Upload employee expenses into payroll.
- Works closely with the HR Assistant and our third-party administrator for 401k loans.
- Assist in annual 401K audit.
- Assist in Workers Compensation audits.
- Assist in EEO-1 Reports.
- New hire administrative functions (e.g. printing and electronically filing new hire documents, preparing workspaces with welcome documents, etc.)
- Payroll tax compliance, including coordination of new withholding agencies, workers compensation and unemployment insurance.
- Processing reports as needed in HRIS and timekeeping programs.
- I-9 and E-Verify processing.
- Year-end tax compliance.
- State Labor Law posters updates.
MINIMUM QUALIFICATIONS PER JOB LEVEL
- High School Diploma and 2 years Microsoft Office experience, particularly Excel
- Experience with payroll, timekeeping and human resource programs
