The Provost Office is seeking an office assistant professional to perform receptionist duties, clerical functions and provide office coverage for the Office of the Provost. Work collaboratively with and support the Administrative Assistant and other office staff members to ensure deadlines are met and priorities accomplished.

- Answer phones courteously and promptly, take messages, and direct visitors.
- Perform office duties including filing, operate copy machine for copies and scanning, email, receive and distribute mail, and maintain tickler file.
- Responsible for signature log including posting incoming and outgoing documents and distribution.
- Assist with Provost Office meetings including agendas and minutes.
- Assist with scheduling meetings.
- Purchase items as requested.
- Assist and work with other administrators in the office as needed and assigned.
- Assist with events including invitations, RSVPs and other meeting planning.
- Assist with Student Information Desk set-up and coverage for fall and spring semesters.
- Update and maintain employee data. Send employee correspondence.
- Call for maintenance of office equipment and track office supplies.
- Handle a variety of work that is confidential in nature.
- Other duties as assigned.
- Evidence of customer service best practices.
- Communicate effectively and display strong interpersonal skills.
- Working knowledge of business English, spelling, punctuation and vocabulary.
- Skills in general office methods, filing, typing and Internet.
- Microsoft Office applications including Word, Excel, Outlook, etc.
- Good organizational skills with ability to perform multiple clerical tasks effectively.
- Detail oriented, including following written and oral instructions effectively.
- Dependable.
- Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
- Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
