Department: Staffing Office Works under the leadership of the Director of Patient Care Services, and the supervision of the Staffing Office Manager. Performs a variety of clerical and administrative activities to meet patient care and staffing needs of the Nursing Departments. Uses critical thinking skills to adjust and complete the daily staffing assignments and schedules to accommodate fluctuation in census, acuity, and skill mix under the supervision of the Administrative Nursing Supervisors. Maintains excellent communicative skills both on the phones and inter personal contacts. Notifies employees for shift availability to fulfill deficiencies in staffing and scheduling. Obtains approval for premium pay situations to the appropriate department director/designee. Is knowledgeable in Windows and Active Staffer data base. Is proficient in documenting and entering all data relating to the nurse staffing office procedures, schedules and reports. Follows all hospital policies and compliance programs. Assesses and adjusts the daily staffing needs for the nursing units along with the supervision of the Administrative Nursing Supervisors. Reviews and records patient census, patient acuity and matrices’ and ensures that each unit is properly staffed according to skill level of employee, and within contractual agreements according to union contracts and state mandated nursing ratios. Accurately maintains appropriate documentation of such. Informs Clinical Managers and Administrative Nursing Supervisors of adverse staffing situations. Utilizes Active Staffer software program for computer data entry, information retrieval, and printing of reports. Acts as a resource for the 28 day scheduling process. Performs duties relating to the processing of the future schedules of the nursing units along with the Lead Scheduler. Processes administrative forms relating to staffing and scheduling including: Vacation Requests, Leave of Absence, Employee Health Visit Reports, Dr. Notes, Schedule Change Requests, Educational Workshops Requests, and all other forms related to office procedure. Assists Charge Nurses, Assistant Head Nurses, and Directors with their staffing plan. Performs project work as directed and other duties as assigned. Practices and promotes hospital policies and hospital compliance programs. Education: Work requires knowledge generally acquired through a high school education or GED. Medical terminology desirable. Related business courses and computer training preferred. Licensure: None. Experience: Six (6) months to one (1) year recent hospital experience or on the job equivalent training in the position. Staffing or clerical experience desirable plus working knowledge of Microsoft Office and Windows based software. Previous secretarial experience preferred. The hourly rate for this position is $33.19 - $42.00 The range displayed on this job posting reflects the target for new hire salaries for this position.
