This is a year round full-time position.
TITLE: Administrative Assistant – Registrar, Salem High School Counseling Department
QUALIFICATIONS:
- Possesses outstanding organizational, communication, and professional skills
- Experienced in Microsoft Office Applications, Google Drive, Infinite Campus Student Information System, Budget Sense, i4See Database
- Assesses student needs swiftly and effectively, while prioritizing confidentiality and safety
- Focuses on attention to detail in daily routines while anticipating and addressing future tasks
- Able to take instruction, produce quality work and make sound judgements
- Demonstrates teamwork and the ability to perform multiple functions within the SHS School Counseling office
- Assists new or returning families with their transition in a supportive manner
REPORTS TO: Director of School Counseling – Salem High School
CONSULTS WITH: Salem High School Building Administrative Assistants; SAU Registrar, SSD IT Department
GOAL: Provide office services by implementing or enhancing existing administrative systems while supporting entire school counseling staff, and administration team
PERFORMANCE RESPONSIBILITIES:
1. Collect and organize student data including registration verification for new students.
2. Retrieve information asked for, or deliver information requested, accurately and in a timely manner.
3. Assist organizing events and activities related to school counseling curriculum delivery
4. Respond to teachers, parents, through e-mails, letters, and/or telephone communication.
5. Maintain and schedule appointments through Outlook for director and school counselors
6. Maintain and respect confidentiality of student, parent, and staff information as well as administrative information.
7. Create and/or revise systems and procedures as needed; implement any changes.
8. Work with other administrative assistants on projects as needed.
9. Be able to manage a fast paced office environment, while prioritizing student safety and confidentiality
10. Support administrator overseeing grade reporting and gradebook management
11. Collaborate with SSD Registrar and supporting staff to ensure consistent practices for data entry and management districtwide
12. Create and manage course set up in Infinite Campus
13. Other tasks as needed
Hours: 7:00 AM to 3:30 PM
EVALUATION: Annually by Director of School Counseling – Salem High School
