Position Title: Student Services & Academic Operations Coordinator
Reports to: Associate Academic Dean
Primary Function: To provide leadership and support across the seminary’s nonordination academic programs, with a focus on student services, operational infrastructure, and academic lifecycle management. This role combines direct student services with behind-the-scenes systems support functions, offering strategic insight to enhance institutional effectiveness to promote the mission of the Seminary and Archabbey.
Essential Duties: To support the seminary’s operations across all administrative and professional ministerial skills building academic programs of the seminary. The incumbent must provide excellent customer support for all constituents of the seminary.
Administrative Duties: Initial contact for all academic inquiries for non-ordination programs; returns or routes all inquiries to the proper program administration. Provides student services regarding registration, billing, admissions inquiries, tracking student progress, and financial aid. Manages admission process including collecting supporting documentation, credentialing, clearances, and the like. Enters and maintains student data for programs including student advisors, mentors, supervisors. Issues reports for assessment and to the academic dean’s office for program tracking, accreditation reports, and student progress. Issues information to support the completion of the non-ordination calendar for courses. Issues timely billing to students and follows up with late payments. Provides regular reports on program progress and upcoming program completion to the associate dean/academic directors for students intending to graduate. Routes acceptance letters, aid awards, or any other correspondence for the academic dean’s signature. Under the guidance of the Associate Dean, provides administrative support for the program directors as needed. Maintains and shares up-to-date alumni data with Advancement staff as needed.
Strategic and Technical Capabilities: Creates and improves operational processes to help route and track student services. Issues queries and exports information for academic, accreditation, and student information. Prepares and submits data reports for assessment and compliance purposes, coordinating with the Registrar, IT, and Business Office.
Other Duties and Expectations: Must be able to work with internal and external executives, academics, and topic area experts. Must be able to coordinate with academicians, IT, PR, events and conferences, business office, and advancement office for proper timing, deadlines, data integrity, workflow, and execution. Must be able to work occasional nights for academic deadlines. Makes suggested improvements to process design, systems, and data analytics to support seminary operations.
