Position Title: Graduate Assistant for Registrar's Office
Reports to: Registrar
Supervises: N/A
Primary function: The Graduate Assistant supports the Registrar’s Office by providing administrative assistance, processing routine student and faculty requests, and assisting with office operations and event preparation. This role involves working extensively with data and the Ellucian Colleague records management system. Success in this position requires strong attention to detail, excellent organizational skills, and the ability to work independently while collaborating effectively within a team environment.
Required Qualifications: Bachelor’s degree required; must be actively enrolled in a SVC graduate program.
Education: Bachelor’s degree
Experience:Office and Excel experience are preferred, but not required
Essential Duties
The Registrar’s Office and Academic Affairs Office require discretion, as the GA will often be asked to work with confidential records and information and could be privy to private conversations regarding students and faculty. Absolute confidentiality must be maintained at all times.

Essential Duties
- Assist the Registrar’s Office in administrative tasks such as copying, scanning, filing, and organizing records
- Assist with document preparation, data entry, and maintaining accurate records
- Enter and update student information in the student information system as directed (e.g., Colleague)
- Review records for completeness and flag discrepancies for staff follow-up
- Greet students, faculty, and visitors in a professional manner and assist with general inquiries
- Direct complex inquiries to appropriate staff members
- Support schedule creation by transferring and verifying course information from spreadsheets into Colleague
- Assist with graduation preparation related tasks and help maintain accurate graduation records and documentation
- Assist Academic Affairs and the Assessment and Institutional Research department as needed, working collaboratively with graduate assistants on special projects and initiatives
- Maintain confidentiality of student information and handle sensitive information with professionalism and discretion
- As assigned
