Position Summary:
The Office Manager ensures the smooth and professional operation of the church office, providing administrative, financial, and communication support to the pastor, church council, staff, and congregation. This role is vital to the daily functioning of the church, supporting its mission and ministry in alignment with Lutheran values.
Key Responsibilities:
Administrative Support
- Maintain and organize church records, files, and directories (membership, attendance, contributions, etc.)
- Prepare and distribute weekly bulletins, monthly newsletters, calendars, and other printed or digital materials
- Manage email, mail, and telephone communications in a timely and welcoming manner
- Coordinate building use and maintain the church calendar for meetings, services, and events
- Provide administrative support to the pastor, church council, and various committees
Communication & Coordination
- Serve as a central point of contact for staff, volunteers, congregation members, and the wider community
- Maintain and update the church website and social media platforms
- Collaborate with worship leaders and volunteers to prepare weekly service materials and schedules
- Coordinate internal and external communication to support events, ministries, and announcements
Office & Facility Management
- Order and manage inventory of office, worship, and hospitality supplies
- Oversee office systems and ensure equipment is functional and up to date
- Schedule and coordinate service providers for facility maintenance and repair
- Monitor office budget
Financial Support
- Perform all bookkeeping responsibilities, including accounts payable, receivable, and contribution tracking
- Maintain accurate financial records using appropriate church accounting software
- Prepare monthly financial reports for the pastor, treasurer, and church council
- Process payroll and ensure timely payment of invoices, reimbursements, and stipends
- Collaborate with church leadership to prepare the annual operating budget
- Compile and present the annual report, including financial summaries and relevant church data
- Ensure all financial activities comply with church policies and reporting requirements
Confidentiality & Sensitivity
- Handle sensitive information with the highest level of confidentiality and discretion
- Offer a warm, compassionate presence to everyone who interacts with the church office, reflecting the spirit of hospitality central to the Lutheran tradition
Qualifications:
- Prior experience in office administration, preferably in a church or nonprofit environment
- Proficiency in Microsoft Office, Google Workspace, and church financial/accounting software (ICON), Mailchimp, Canva, etc.
- Strong organizational, interpersonal, and written/verbal communication skills
- Ability to manage multiple tasks and prioritize effectively in a dynamic environment
- Understanding of and respect for Lutheran beliefs, worship practices, and community life
Work Schedule & Compensation:
- Part-time, approximately 20-25 hours per week
- $20 per hour
