Job Summary
We are seeking a highly organized and professional Staff Associate to support our office operations. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. This role involves providing exceptional customer service, managing administrative tasks, and ensuring smooth daily operations within a dynamic office environment.
Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems
- Provide outstanding customer service and support to clients and staff
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office and other computer applications for various administrative tasks
- Assist with calendar management, appointment scheduling, and time management for staff members
- For weekend masses, make copies of kid’s bulletins, provide petitions and announcements.
- Schedule and organize sacramental events such as Baptisms and Weddings.
- Create sacramental certificates.
- Schedule funerals and related events.
- Assist pastor with scheduling appointments for anointing of sick and Eucharist.
- Maintain room scheduling.
- Make phone calls to gather data as requested.
- Update church database with new parishioner info.
- Place orders for printed materials including envelopes, stationery, brochures, flyers, etc
- Check frequently the levels of office supplies and place appropriate orders.
- Assist with direct mailings including mailing labels, copying/printing materials, stuffing envelopes.
- Operate all office equipment. Assist others when needed.
- Prepare and disseminate correspondence, memos, and forms.
- Facilitate the completion of regular reports and forms.
- Assist in the organization of meetings/events.
- Support meetings by sending reminders, gathering agenda items, creating an agenda, taking minutes.
- Maintain the staff calendars both electronic & paper.
- Assist with gift card program.
- Assist in maintaining a filing system both paper & electronic.
- Answer phone calls, take messages, and redirect calls when necessary.
- Make travel arrangements when requested.
- Other duties as requested by the Pastor and Staff.
Skills
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent phone etiquette and experience managing multi-line phone systems
- Office management or clerical experience preferred, including familiarity with calendar management and filing systems
- Exceptional customer service skills with a professional demeanor
- Strong typing skills and computer literacy for efficient data entry and document preparation
- Attention to detail in proofreading and document accuracy
- Ability to handle administrative support tasks such as customer support, appointment scheduling, and record keeping efficiently
- A practicing Catholic preferred.
- Good judgment, adaptability, and discretion with staff, parishioners.
- Ability to work independently as well as in a team environment.
- Must comply with requirements of the Diocese of Cleveland’s policy on the protection of minors.

Pay: $13.00 - $16.00 per hour
