Position Summary
Supports the maintenance department by accurately processing repair and maintenance invoices and maintaining records. Coordinates with vendors and ensures timely data entry into internal systems.
Major Tasks And Responsibilities
- Receives, reviews, and processes incoming maintenance-related invoices.
- Verifies invoice accuracy against work orders, purchase orders, and vendor agreements.
- Communicates with vendors and internal departments to resolve invoice discrepancies or incomplete documentation.
- Enters invoice data into maintenance and financial systems accurately and in a timely manner.
- Maintains digital and physical filing systems for invoices and maintenance records.
- Assists in tracking and reporting maintenance costs and expenses.
- Supports the Shop Manager and mechanics with administrative tasks as needed.
- Ensures confidentiality and compliance with company policies and internal controls.
- High school diploma or GED.
- 2 years of administrative experience.
- Experience in maintenance, transportation, or logistics functions.
- Knowledge of invoice processing and basic account principles.
- Proficiency in Microsoft Office.
