Overview
Join one of New Jersey's well respected private Hospitalist practices, and be part of our small and dynamic administrative team as an Office Assistant. We are seeking a highly motivated self - starter who can pick up tasks and see them through completion. You will become a vital part of the operations that support and foster excellent patient care in the inpatient world. You will be part of a fast paced team that works well together, thinks on its feet, and provides growth opportunities to its team members!
Duties
- Ensure on time hospital, insurance, and other organizational credentials by coordinating document submissions
- Support Practice & Operations Manager in ad hoc tasks as assigned, including, but not limited to communicating with clinicians, coordinating events / meals / gifts, and creating custom Excel reports for assigned tasks
- Handle document updates, filing, and retention to ensure compliance with hospital, state and federal requirements
- Assist with billing, invoicing, and basic bookkeeping tasks using MS Office
- Visit physicians on - site, as needed
- Manage administrative and clinical supplies including Rx pads, business cards, and other items as needed
- Maintain cleanliness and organization of the office, ensuring a welcoming environment for all visitors
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- 3 years relevant experience required, 5 years in a medical practice environment preferred
- Experience handling PII and PHI is a must
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to multitask efficiently in a busy environment
- Experience with data entry, filing, and calendar management is preferred
- Familiarity with medical terminology is advantageous
