Job Overview

The Administrative & IT Support Coordinator provides day-to-day administrative, compliance, and basic IT support across the organization. The primary focus of this position is managing subcontractor documentation and compliance, including Certificates of Insurance (COIs), agreements, expiration tracking, and communication with internal departments and external subcontractors.

This position also provides routine IT administrative support, including employee onboarding and offboarding, user account and email creation, password resets, system access maintenance, and user account clean-up.

The ideal candidate is highly organized, detail-oriented, comfortable working across multiple systems, and able to effectively manage recurring tasks, deadlines, and follow-up.

Responsibilities

1. Subcontractor Compliance & Administration

  • Review Certificates of Insurance (COIs) to ensure they meet established company requirements.
  • Track COI expiration dates and proactively obtain updated documentation from subcontractors.
  • Identify and follow up on missing, expired, incomplete, or non-compliant documentation.
  • Send and track subcontractor/1099 agreements and other required documents.
  • Maintain accurate subcontractor records, documentation, and compliance status.
  • Communicate with subcontractors and internal departments regarding compliance requirements and outstanding items.
  • Escalate unusual insurance, compliance, or contractual questions to the appropriate department or leadership.

2. Systems, Tracking & Process Management

  • Maintain and improve systems used to track COIs, subcontractor documentation, agreements, expiration dates, and compliance status.
  • Build and maintain tracking tools, reports, alerts, and workflows to improve visibility and reduce manual follow-up.
  • Ensure information is entered and maintained accurately across company systems.
  • Perform routine reviews to identify upcoming expirations, missing documentation, and outstanding action items.
  • Identify opportunities to simplify, standardize, or automate administrative processes.

3. Administrative & Department Support

  • Serve as a point of contact between internal departments and external subcontractors for assigned administrative matters.
  • Maintain organized electronic records and ensure documentation is properly stored and accessible.
  • Assist with data entry, document preparation, reporting, recordkeeping, and follow-up activities.
  • Create and maintain checklists, templates, instructions, and procedures for recurring responsibilities.
  • Support departments and leadership with administrative projects and other assigned tasks.

4. IT User Administration & Support

  • Create company email accounts, user accounts, credentials, and standard system access for new employees.
  • Complete routine IT onboarding and offboarding tasks, including creating, modifying, disabling, and removing user access.
  • Assist employees with password resets, account lockouts, multi-factor authentication, and other basic login or access issues.
  • Perform basic administration of user groups, distribution lists, shared mailboxes, and system permissions as assigned.
  • Perform routine system user clean-up and access reviews to identify inactive, duplicate, outdated, or unnecessary accounts.
  • Review system user lists to ensure terminated or inactive employees have been removed and active employees maintain appropriate access.
  • Maintain accurate records of user accounts and system access.
  • Escalate advanced technical, security, hardware, software, or non-standard access issues to the appropriate IT team member.

5. General Responsibilities

  • Communicate professionally and effectively with employees, subcontractors, vendors, and other external contacts.
  • Maintain confidentiality when handling employee information, credentials, company records, and other sensitive information.
  • Follow established company procedures and security requirements.
  • Manage multiple priorities and ensure assigned tasks and follow-ups are completed in a timely manner.
  • Assist with process improvements, new system implementations, and other company initiatives as needed.
  • Perform other reasonable duties and responsibilities as assigned by management.

 

Qualifications

  • High school diploma or equivalent required; additional education in Business Administration, Information Technology, or a related field preferred.
  • 1–3 years of experience in an administrative, compliance, office support, coordinator, or similar role preferred.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage recurring tasks, deadlines, documentation, and follow-up independently.
  • Proficiency with Microsoft Office and Microsoft 365 applications.
  • Comfortable learning and working within multiple software systems.
  • Basic understanding of user accounts, email administration, passwords, and system access preferred.
  • Experience reviewing Certificates of Insurance or managing subcontractor documentation is preferred but not required.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Ability to use a keyboard, mouse, telephone, and other computer peripherals for extended periods.
  • Ability to communicate effectively in person, by telephone, and through electronic communication.
  • Ability to see and read computer screens, technical documentation, and equipment labels.
  • Ability to hear and respond to telephone calls, alerts, and conversations in a typical office environment.
  • Ability to frequently reach, grasp, handle, and manipulate computer equipment, cables, tools, and peripherals.
  • Ability to occasionally stand, walk, bend, stoop, kneel, or reach when installing, troubleshooting, or maintaining equipment.
  • Ability to occasionally lift, carry, and move computers, monitors, printers, networking equipment, and other IT equipment, within the organization's established lifting guidelines.
  • Ability to work in a variety of environments, including office, equipment rooms, and user workspaces.
  • Ability to safely perform the essential physical functions of the position, with or without reasonable accommodation.
