Location: American Fork, UT (with initial training in Draper and American Fork)
Type: Starting part-time with option to expand to full-time work
About the Role
Sage Family Counseling is expanding! We are seeking a reliable, professional, and proactive Receptionist to help us launch and grow our brand-new American Fork location. This is an exciting opportunity for someone who enjoys building a positive office culture from the ground up.
Note on Training: To ensure you are fully integrated into the Sage team, initial training will take place at both our Draper and American Fork offices. Once training is complete, your permanent station will be the American Fork location.
Key Responsibilities
- Provider Support (Priority): Act as the right hand to our clinical team. You will manage provider schedules, handle room coordination, and provide administrative support to ensure therapists can focus entirely on client care.
- Clinic Growth: Assist in the successful launch of our new site by maintaining a welcoming, organized, and high-functioning environment for both staff and new clients.
- Client Relations: Serve as the face of the new office; warmly welcome clients, manage check-ins, and maintain a calming atmosphere.
- Office Upkeep: Take pride in the new space by managing general upkeep. This includes keeping the lobby tidy, ensuring refreshment stations are stocked, and maintaining the cleanliness of bathrooms and common areas.
- Communication & Onboarding: Manage incoming calls, emails, and texts. Ensure all new patient intake paperwork is gathered and accurately entered into the system before sessions begin.
- Financial Tasks: Process client payments, manage cards on file, and address basic billing inquiries.
Requirements & Skills
- Professionalism: A calm, empathetic demeanor suitable for a mental health setting.
- Technical Proficiency: Ability to quickly learn EHR software and manage digital communication tools.
- Multitasking: A "self-starter" who can balance provider needs, phone calls, and office tasks simultaneously.
- Confidentiality: Strict adherence to HIPAA guidelines to protect client privacy.
- Flexibility: A positive attitude toward the shifting needs of a growing office.
Preferred Qualifications
- Previous experience in a medical or mental health office.
- Familiarity with insurance terminology (co-pays, deductibles, etc.).
- Associate's or Bachelor's Degree
