Position Overview
The Team Coordinator is a foundational member of the US Wealth team, supporting its leaders while helping build the culture, structure, and day-to-day operations of a growing platform. Working closely with the heads of the team, this person will drive coordination across schedules, meetings, travel, projects, events, and CRM reporting, while also serving as a key partner across broader team workstreams as the function expands.
Compensation range: USD$125,000 to USD$135,000 base

Position Overview

Compensation range: USD$125,000 to USD$135,000 base
Responsibilities
- Manage complex calendars for executive(s), coordinating internal and external meetings across multiple time zones, including scheduling, virtual meeting links, and room bookings.
- Coordinate all aspects of domestic and international travel, including flights, accommodations, itineraries, and related logistics, and prepare and submit expense reports in a timely manner.
- Act as a key point of contact for vendors, clients, colleagues, and other stakeholders; manage incoming communications, prioritize requests, and direct inquiries as appropriate.
- Organize and support internal meetings, team events, and conference participation, including registration, travel logistics, preparation of presentation materials, and on-site coordination when required.
- Prepare, proofread, and format presentations, reports, correspondence, and other documents, and coordinate the printing of presentation materials.
- Assist with CRM records and reporting, contact directories or other databases, including assisting the team with documenting meeting notes and relevant information as needed.
- Act as an extension of the team by providing day-to-day administrative and coordination support to multiple team members, managing and prioritizing requests from several stakeholders simultaneously while ensuring tasks are completed accurately and within required timelines.
- 3–5 years of experience in an administrative, executive support, or team coordination role, preferably within a professional services, financial services, or fast-paced corporate environment.
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines.
- Excellent attention to detail and the ability to handle sensitive and confidential information with discretion.
- Strong written and verbal communication skills.
- Proficiency with Google Suite and virtual meeting platforms such as Zoom or Microsoft Teams.
- Experience working with CRM systems (DealCloud) and maintaining contact databases is an asset.
- Ability to work collaboratively across teams and support multiple stakeholders.
- Proactive, resourceful, and able to operate effectively in a dynamic and fast-paced environment.
