Sagamore Fence and Deck is looking for an Administrative Operations Coordinator to support the Operations Manager of the organization. This individual must be capable of efficiently multi-tasking, at times under tight deadlines, and appropriately handling sensitive information. Success in this role also involves the ability to anticipate the needs of the owner and takes the initiative to solve problems independently, while displaying appropriate judgment. In addition, this individual will be expected to proactively identify opportunities to make the overall organization and leadership team operate more efficiently. Ideal candidates are detail-oriented, fast-paced, and able to assist the Managing Member with the execution of the vision and operational initiatives of the company.
Responsibilities
· Inbound client phone and e-mail communication.
· Multi-faceted calendar management
· Follow up on action items on behalf of leadership team, as appropriate
· Understand overall organization priorities, goals, and align schedules and appointments accordingly
· Provide effective and expeditious meeting coordination including agendas, notes, and follow-up
· Coordinate with other company team members to collaborate, schedule meetings, prioritize critical path items, solve problems, and obtain information to ensure smooth day to day operations
· Assist with new hire onboarding and planning
· Identify opportunities to make the team more efficient
· Handle special projects as they arise
· Assist with marketing and social media processes and initiatives
Qualifications
· Strong Verbal and Written Communication Skills.
· Confidence in interacting with clients.
· 2 years relevant work experience in construction/construction management, and/or supporting senior staff is preferred, but not required. Willing to train the right candidate.
· Proven ability to independently exercise sound judgment, prioritize appropriately, show initiative and problem solve.
· Capable of building strong relationships with team members and clients to accomplish tasks and achieve goals.
· High degree of flexibility and adaptability; including the ability to work outside of regular business hours.
· The ability to operate effectively in a fast-paced environment with little supervision.
· Outstanding planning & organizational skills and meticulous attention to detail.
· A “can-do” attitude that focuses on getting the job done in a highly collaborative and positive way.
· Proven competency using MS Office applications: Word, Excel, PowerPoint & Outlook.
· Comfortable with learning new software programs.
· Effective verbal and written English communication skills.
· Ability to manage shared Team Box inbox
· Valid drivers license and comfortable with potentially driving to client sites.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
