Transportation Dispatch Assistant Part Time
Job Overview
Safe-T Transportation is looking for a friendly, dependable, and organized Transportation Dispatch Assistant to join our team.
This is an entry-level position focused primarily on answering incoming phone calls, communicating transportation updates to drivers, assisting with schedule changes, and keeping trip information organized.
The ideal candidate is a people person who communicates well, is comfortable speaking on the phone throughout the day, types efficiently, and has experience using Microsoft Excel and basic computer programs.
Previous transportation or dispatch experience is helpful but not required. We are looking for someone who is dependable, willing to learn, and comfortable working in a busy office environment.
Primary Responsibilities
Phone & Client Communication
- Answer incoming phone calls from clients, healthcare facilities, drivers, and other transportation partners
- Provide professional and friendly customer service over the phone
- Take messages, document trip information, and communicate requests to the appropriate team member
- Assist with transportation updates, cancellations, pickup-time questions, and schedule changes
- Maintain a professional and helpful attitude when communicating with clients
Driver Communication
- Communicate schedule changes and trip updates to drivers throughout the day
- Notify drivers of new trips, cancellations, pickup changes, or other important information
- Answer driver calls and assist with basic schedule or trip-related questions
- Help ensure drivers receive accurate and timely information
- Communicate clearly and professionally with drivers by phone, text, and dispatch systems
Scheduling & Administrative Support
- Assist the dispatch team with updating daily transportation schedules
- Enter and update trip information using dispatch software and Microsoft Excel
- Maintain accurate records of transportation activity
- Review schedules for changes and communicate updates as needed
- Assist with basic office and administrative duties
Requirements
- Excellent phone and communication skills
- Friendly, professional, and comfortable speaking with people
- Proficient typing skills
- Comfortable using Microsoft Excel
- Basic computer skills and ability to learn new software
- Strong attention to detail
- Ability to multitask and stay organized
- Ability to communicate information accurately and quickly
- Dependable attendance and punctuality
- Ability to remain professional in a busy, fast-paced environment
Preferred Qualifications
- Previous customer service, receptionist, office, dispatch, or scheduling experience
- Experience answering a high volume of phone calls
- Familiarity with Microsoft Office
- Transportation or Non-Emergency Medical Transportation experience is a plus, but not required
Work Schedule & Compensation
- Hourly W-2 position
- Minimum 30 hours per week
- In-person position
- Schedule may include evenings or weekends depending on operational needs
