· The Area Director is a key leadership role responsible for the direct supervision and oversight of all Program Managers within the agency. This position ensures that Program Managers are effectively managing House Managers and Direct Support Professionals (DSPs) in accordance with agency policies, MaineCare Section 21 regulations, and professional standards. The Area Director provides daily operational oversight, ensures compliance with documentation, scheduling, payroll, and program quality standards, and partners closely with HR, Clinical, Documentation, and Medical departments to maintain high-quality services for clients.
Key Responsibilities
Program Manager Oversight & Staff Management
· Provide direct supervision, monthly oversight, and performance evaluation of all Program Managers.
· Ensure Program Managers follow proper disciplinary processes, including gathering documentation of staff performance issues, consulting with HR, and scheduling staff meetings.
· Confirm that disciplinary actions are handled consistently and in alignment with agency policy and employee personnel files.
· Support Program Managers in managing House Managers and DSPs, ensuring that client needs and staff compliance are met.
Scheduling & Staffing Management
· Oversee the accuracy and upkeep of the When I Work scheduling system.
· Ensure call-outs, vacation requests, trainings, and schedule notes are labeled correctly.
· Review schedules for compliance with special requests and restrictions (e.g., gender-specific staffing, restricted staff assignments).
· Assist Program Managers in developing staffing plans to reduce overtime while maintaining adequate coverage.
Documentation & Quality Assurance
· Provide daily oversight of Therap to ensure timely and accurate completion of all required documentation.
· Collaborate with the Documentation Department to ensure staff are following up on corrections and that daily notes are complete.
· Partner with the Medical Department to ensure MARs are current and accurate.
· Work with the Clinical Director to monitor that all reportable events (GERs) are entered, followed up on, and resolved appropriately.
Payroll & Administrative Oversight
· Oversee payroll submission to ensure accuracy and timeliness.
· Ensure Program Managers and House Managers follow payroll procedures and deadlines.
· Assist in payroll completion as needed to meet agency deadlines.
· Monitor submission of monthly paperwork from House Managers and confirm timely compliance.
Program Cleanliness & Audits
· Ensure that all residential programs are kept clean, safe, and maintained according to SRC standards.
· Conduct and oversee regular audits of each program to confirm compliance with agency expectations, licensing requirements, and HCBS standards.
· Follow up on deficiencies and ensure corrective actions are implemented and sustained.
Collaboration & Leadership
· Act as the liaison between Program Managers and agency leadership to ensure consistency in communication and expectations.
· Provide training, coaching, and mentorship to Program Managers to strengthen leadership capacity across the agency.
· Participate in leadership meetings and contribute to agency-wide initiatives, compliance reviews, and quality improvement planning.
Qualifications
· Minimum 3 years of progressive supervisory or management experience in residential or human services (IDD/Autism/Behavioral Health strongly preferred).
· Strong knowledge of MaineCare Section 21 Waiver requirements and HCBS standards.
· Proficiency in Therap and When I Work scheduling systems (or willingness to learn).
· Demonstrated experience with staff management, disciplinary processes, and compliance oversight.
· Excellent communication, organizational, and leadership skills.
· Ability to work collaboratively across departments (HR, Clinical, Medical, Documentation).
