Project and Maintenance Coordinator

Established in 1991, Safe Harbor Center is a nationally recognized leader among nonprofit organizations dedicated to serving children, families, and individuals who have been abused, abandoned, or neglected, who are homeless or have run away from home, and who are otherwise at risk or feel threatened.
In this role, the individual will serve as the maintenance coordinator, responsible for organizing and executing preventative and project maintenance activities within the facility. This position requires a hands-on approach, as the candidate will plan and schedule maintenance tasks and actively perform repairs and maintenance work. Key responsibilities include assessing maintenance needs, coordinating with vendors for specialized services, and implementing an effective preventative maintenance program to minimize downtime. The ideal candidate should possess strong technical skills, attention to detail, and a proactive attitude, ensuring that all systems and equipment operate optimally while fostering a safe and efficient working environment. Responsibilities include:
- Providing a safe facility for Safe Harbor’s clients and employees that meets current safety and building safety codes.
- Providing excellent customer service.
- Operate with cost control in mind.
- Continuously improve the maintenance management system.
- Managing parts inventory and vendor contracts, executing preventative maintenance, and managing capital projects.
- Conduct periodic inspections of properties and coordinate maintenance and repair tasks.
- Performing maintenance and repair tasks.
- Develop and oversee the community's preventative maintenance programs.
- Managing vendor contracts and relationships.
- Coordinating, prepping and supervising volunteer groups that are working on facilities.
- Acquire and maintain maintenance and project supplies.
- Assisting facility managers with various maintenance and repair needs.
- Adhering to the organization’s annual maintenance budget and guidelines.
- Tracking and reporting monthly maintenance costs and expenditures per GNPO guidelines.
This position reports to Safe Harbor’s Executive Director.
SKILLS REQUIRED
- Possess your hand tools and be skilled in their safe use and maintenance.
- Apply logical thinking to solve problems effectively.
- Vital customer service and communication skills, including interacting courteously and calmly with residents, clients, and team members and addressing issues.
- Demonstrate practical written skills to represent the company, act as a point of contact for internal and external inquiries and explain department policies.
- Be proficient in using the internet, word processing, spreadsheet, and database programs, preferably with experience in property management systems.
- Operate essential office equipment like copiers, faxes, and telephones.
OTHER REQUIREMENTS
- Must have all certifications as required by State and Local jurisdictions.
- Must have a valid driver’s license.
- Must have reliable transportation.
- Must pass a background check.
- Hold a high school diploma, GED, or equivalent experience/training.
- This position will involve a rotating on-call schedule, requiring availability on weekends, evenings, and mornings.
