About Us: Safe Hands Warm Hearts (SHWH) is a fast-growing, premier home care agency serving close to 500 clients across Michigan. With a dedicated team of nearly 400 caregivers, we partner primarily with Medicaid Waiver programs, AAAs, the VA, MDHHS Home Help, and MCOs to deliver exceptional care. We are on an aggressive growth track and are looking for a high-level operational professional to help build the infrastructure to support our continued expansion.
The Role: We are seeking a highly tech-savvy and detail-oriented HR, Payroll & Billing Specialist to take ownership of our back-office engine. Reporting directly to the executive team, you will be the linchpin connecting our HR onboarding, payroll, and billing processes. You won't just be entering data; you will be managing systems, optimizing workflows, and ensuring our caregivers are paid accurately and our agency partners are billed flawlessly. Key Responsibilities:
- Revenue Cycle & Billing:
- Manage and execute billing across all agency portals (AAAs, VA, MDHHS Home Help, MI Choice Waiver, and MCOs).
- Proactively identify, investigate, and resolve claim discrepancies, denials, and overdue invoices.
- Manage client and patient authorizations in HHAExchange, tracking expiration dates and collaborating with Care Managers (CMs) to ensure zero lapses in care or billing.
- Payroll Administration:
- Take ownership of the bi-weekly payroll process for 400 caregivers using ADP.
- Ensure seamless data synchronization between our CRM (HHAExchange) and payroll (ADP).
- Independently manage payroll questions, timesheet corrections, and discrepancies with high accuracy and urgency.
- HR Onboarding & Systems Management:
- Drive the caregiver onboarding process: send employment packets, ensure compliance, and officially "clear" staff to begin their first shifts.
- Manage the accurate entry and termination of employees across all company systems (ADP, HHAExchange, etc.).
Qualifications:
- Experience: 3 years in medical billing, payroll, and/or healthcare operations. Direct experience billing Michigan Medicaid Waiver programs, AAAs, or MCOs is highly desired.
- Tech-Savvy: You must be highly comfortable learning and mastering new software. Experience with HHAExchange and ADP is a massive advantage, but a proven track record of mastering complex EMRs/CRMs is acceptable.
