Duties

  • Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, and transportation, ensuring seamless logistics for executives’ business trips.
  • Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and professionalism.
  • Handle incoming calls with excellent phone etiquette, direct inquiries appropriately, and manage multi-line phone systems efficiently.
  • Organize meetings by preparing agendas, taking detailed minutes or transcription notes, and distributing materials promptly.
  • Maintain filing systems—both digital and physical—ensuring easy retrieval of important documents and records.
  • Assist with bookkeeping tasks using QuickBooks or similar software; process invoices, track expenses, and perform data entry for financial records.
  • Support event planning activities for company functions or client meetings from start to finish.
  • Provide front desk coverage as needed; greet visitors professionally while managing office supplies and general administrative duties.

  • Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and Microsoft Outlook Calendar.
  • Strong typing skills combined with transcription experience for accurate documentation.
  • Experience with office management systems such as DocuSign for electronic signatures and filing systems for document organization.
  • Excellent communication skills demonstrating professional phone etiquette and customer service excellence.
  • Knowledge of bookkeeping software like QuickBooks; experience in data entry and basic accounting is a plus.
  • Proven ability to handle multiple projects simultaneously while maintaining attention to detail.
  • Familiarity with multi-line phone systems and front desk operations to ensure smooth reception duties.
  • Capable of proofreading documents thoroughly to ensure clarity and accuracy before distribution.
  • Demonstrated experience supporting executives or serving as a personal assistant with discretion and confidentiality.
