Position Title: LMS Attendance/Front Desk Coordinator
Department: P-8
Reports To: Principal of P-8
FLSA Classification: Non-exempt
FTE (Full-Time Equivalent): 100%
Schedule of Duties: 11-Month
Salary: $25.00–$35.00 per hour
Position Purpose: Greets and assists visitors as the first point of contact at the school’s front desk. Oversees the collection and reporting of daily student attendance, answers phones, directs visitors, and ensures compliance with sign-in procedures and security protocols. Performs general administrative duties including accounting, ordering, and recordkeeping to support the P-8 program.
Essential Functions
- Provides accurate reporting for daily attendance for lower and middle school students;
- Provides daily attendance reports and maintains attendance records.
- Calculates student attendance weekly and provides parents and faculty with attendance totals for excessive tardies, absences, or early dismissals.
- Provides support to the Health Office and assists students, as needed, when the nurse is away (ex. administering basic first aid and OTC medications)
- Contact parents/guardians to verify all absences, and clear student records in the attendance system.
- Assist with data processing and other related administrative needs of the office.
- Collects and communicates any dismissal changes to teachers and to Extended Care.
- Responsible for ordering all supplies for faculty and staff members on a weekly basis.
- Assists and supports parents, students, prospective students, and visitors.
- Uses discretion to redirect phone and in-person requests for the Principal or other Administrators, as appropriate.
- Supports Preschool attendance coverage as needed when P-8 Office Assistant is not available.
- Contributes positively to employee morale; maintains a positive, pleasant demeanor to all constituencies; provides positive encouragement to students.
- May provide occasional student supervision support, as needed.
- Provides support on other duties as assigned by the P-8 Principal.
Qualifications
- A clear commitment to the educational philosophy of the school as articulated in the Goals and Criteria of Sacred Heart Schools and professional behavior based on it.
- High school diploma or GED and a minimum of three years of experience in a similar position, BA degree preferred.
- Ability to apply common sense understanding and to carry out instructions, furnished in written or oral form.
- Must demonstrate a calm demeanor and peaceful confidence under pressure and in high-stress situations.
- Must have competency with MS Word, Excel, Google applications, and Internet functions.
- Ability to use basic office equipment (FAX, copier, printers, security cameras, etc.)
- Ability to communicate effectively with all constituents in a school environment while exhibiting extreme diplomacy.
- Demonstrated excellent attendance and punctuality.
- Preferred experience with student information system databases (Blackbaud & SchoolPass).
- Proficient use of Google Suite, and Microsoft Office programs.
- Must show proof of COVID-19 vaccination status.
Physical Requirements and Work Environment
- Enjoys interacting with students of all ages.
- Possesses the ability to manage competing priorities while interacting with a variety of individuals.
- Able to sit for long periods of time and communicate with visitors, necessitating both close-up and distant visual acuity.
- Able to travel safely and comfortably across the 64-acre campus.
- Physically able to lift up to 30 pounds on occasion and regularly perform tasks involving bending, reaching, and twisting.
- Requires prolonged periods of sitting at a desk and working on a computer.
- Works in a climate-controlled indoor office environment.
