Role and Responsibilities
Sacramento Heart & Vascular Medical Associates is one of Northern California’s foremost specialty groups in the diagnosis and treatment of cardiovascular disease. We have an immediate opening for a full-time Medical Scheduling Coordinator seeking employment in a fast-paced environment. This position works out of the main office (centrally located in Sacramento, CA).
Under general supervision, the Scheduling Coordinator will provide rotational functional area support to the Scheduling Department. The job scope includes the full cycle support in the execution of tasks related to patient referrals, patient eligibility and patient scheduling. Should have knowledge of clinic operations & procedures; participates in quality assurance. Follows protocols according to established clinic standards in accordance with Sacramento Heart & Vascular Medical Associates (SHVMA) Scheduling Department.
Functional Area (Patient Referrals/Patient Scheduling)
- Execute full cycle referral process: Receives all referrals, obtains proper information, and enters referrals into electronic medical records (EMR) system, files referral packet in proper location.
- Builds cases if referral or authorization is required.
- Verifies demographics with patient prior to scheduling, insurance eligibility, authorization or referral.
- Schedules appointments, consultations or testing.
- Mails registration packet to patients, faxes back to referring office with appointment date and time.
- Answers telephone messages, responds to referrals and processes requests/referrals within a timely manner. Clarifies referrals that are incomplete or have uncertain services requested.
- Responsible for the organization and processing of referrals in a timely manner.
- Maintains daily electronic tracking of all referrals received and follow ups enters data into EMR System (i.e. pending appointments appointment letters pending consults referrals etc.).
- Provides daily/weekly updates to the Administrator, Billing Manager and/or Billing Lead regarding referral status and number of open/filled slots.
- Completion of follow-up on all referrals including documentation in EMR and tracking system rescheduling appointments and notification of the PCP, notification and follow-up with the patient and provider specialist of all necessary information for patient’s appointment.
- Collect and maintain required data for any corporate requirements.
- May be required to interpret for patients and staff on an as needed basis.
- Insures client patient confidentiality.
- Other duties and/or special projects as required.
Qualifications and Education Requirements
- HS Diploma or GED program.
- Experience consisting of 1-3 years in Patient Referrals, Patient Eligibility and Scheduling required.
- Proficient computer skills required; electronic medical record (EMR) experience desirable.
- Use of online reference data base services.
- Ability to multi-task in fast-paced environment.
- Knowledge of medical terminology.
- Knowledge of HIPAA, federal and state regulations regarding the release of information.
- Working knowledge of CPT and ICD10 codes, HCFA 1500, UB04 claim forms, HIPAA, billing and insurance regulations, medical terminology, insurance benefits, and appeal process.
- Knowledge of healthcare policies for all clinical practices and applicable laws and regulations governing proper clinical practice; ability to demonstrate ethical behavior in diverse situations.
- Attention to detail, able to prioritize workload.
- Able to work independently and as a member of a team.
- Demonstrates effective verbal and written communication and problem-solving skills.
- Proficiency in MS Office and Patient Management software.
- Overtime or weekend work could be required, as needed.
Working Conditions / Physical Requirements
Office setting, with moderate noise level.
Requires full range of body motion including manual and finger dexterity and hand-eye coordination. Requires sitting for extensive periods of time with occasional standing and or walking. Occasionally lifts and carries items weighing up to 10 pounds. Requires corrected vision and hearing to normal range.

Compensation for this role at Sacramento Heart & Vascular Medical Associates (SHVMA) depends on a wide array of factors including but not limited to role, skill set and level of experience. As required by state or local law, SHVMA provides a reasonable pay scale to include the hourly or salary range that SHVMA reasonably expects to pay for this role as stated within this job posting.
