Job Overview
We are looking for an Administrative Assistant to join our team. In this role, you will confidently handle a wide range of administrative and executive support-related tasks. You are accustomed to maintaining effective lines of communication, keeping stakeholders fully informed of critical issues, and making quick decisions while thinking on your feet.
You are reliable, dedicated, proactive, organized, independent, and highly detail-oriented. You are comfortable communicating and interacting at senior levels, both internally and externally, and understand the importance of discretion in all matters.
Responsibilities
- Answer and direct phone calls in a polite and friendly manner.
- Check voicemail every morning.
- Greet visitors in a friendly manner.
- Arrange staff meetings and take detailed minutes.
- Prepare communications, such as memos, emails, invoices, reports, and other correspondence.
- Create and maintain filing systems, both electronic and physical.
- Manage projects and conduct research as required.
- Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Run errands as needed.
Requirements and Skills
- Proven experience as an Administrative Assistant or Office Admin Assistant.
- Knowledge of office management systems and procedures.
- Proficiency in MS Office & Quickbooks.
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
Pay: $15.00 - $18.00 per hour
