Job Summary
S2C Design Studio is an architectural design firm specializing in residential and commercial projects across Southern California. We work closely with clients, vendors, and multiple city departments to move projects efficiently through the permit and plan check process.
We are seeking a highly organized, proactive Administrative Assistant/Receptionist to join our team. The Administrative Assistant/Receptionist will serve as the first point of contact for clients and will play a key role in supporting our architects and project managers. This position requires strong communication skills, attention to detail, and the ability to manage multiple tasks while interacting professionally with various city departments.
Experience with office management and clerical duties is a must. The ideal candidate will possess strong computer literacy, excellent customer service skills, and the ability to handle multiple tasks efficiently. Duties
- Answer and route incoming calls with professionalism and courtesy
- Make outbound calls to various City departments (LADBS, Planning, Public Works, etc.) to request project updates, verify application requirements, and follow up on clearances
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace
- Perform data entry, filing, and maintain accurate records using Monday.com
- Assist with bookkeeping tasks including invoicing and basic financial record keeping using Joist
- Track and manage project progress with the Cities, including: Monitoring plan check statuses; Gathering and updating clearance requirements; Requesting comments, corrections, or updates from City staff
- Forwarding all updates and documents to the architect/project manager
- Provide excellent customer support by addressing inquiries promptly via phone or email
- Maintain organized project files, logs, and communication records
- Assist with preparing documents for submittals, resubmittals, and client communication
- Provide general administrative support (emails, data entry, scanning, filing, etc.)
Requirements
- Previous administrative or receptionist experience or clerical role (architecture, engineering, construction, or permitting background is a plus)
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Strong computer skills with familiarity in data entry, filing systems, and office management software
- Exceptional organizational skills with the ability to prioritize tasks effectively
- Ability to make professional calls to City departments and gather accurate information
- Comfortable working in a fast-paced environment with multiple ongoing projects
- Proficiency with email, Google Workspace or Microsoft Office, and basic workflow tools
- Positive, reliable, and proactive attitude
