Assistant Matter Mobility Reviewer

Location: Seattle, WA (Hybrid – 3 days onsite)

Contract Duration: 3 months initial contract with a high chance of extension and/or conversion

Pay Rate: $30-35/hour (W2)


Start Date: ASAP (Replacing a contractor leaving to practice law)


The Matter Mobility Reviewer role is ideal for candidates with strong analytical skills, sound judgment, and a proactive, detail-oriented approach. While familiarity with IP, trademark work, and legal documentation is beneficial, the position requires more than basic data verification—it involves interpreting information, identifying discrepancies, and applying established guidelines to ensure accuracy and consistency. Candidates should be comfortable reviewing files dating back to the pandemic, managing client materials within a law firm environment, and working with legal terminology and procedures relevant to the assignment.


Key qualities of a strong candidate include:

  • Strong analytical and critical-thinking skills
  • Prior experience with document review; paralegal background preferred
  • Knowledge of client file management within a law firm setting
  • Understanding of legal terminology, IP processes, and trademark-related documentation
  • Ability to ask thoughtful questions and clarify processes, training, and available resources
  • Comfortable handling sensitive data and reviewing complex applications
  • Excellent prioritisation, organization, and deadline-management abilities
  • Strong communication skills and the ability to work independently and collaboratively


The ideal candidate pairs accuracy with initiative—digging into materials, spotting issues, and contributing to process improvements rather than simply processing information.


Key Responsibilities

  • Review physical and electronic client files related to outgoing matter transfers in accordance with firm guidelines and protocols.
  • Maintain accurate tracking of workstreams, ensuring timely and thorough review completion.
  • Escalate issues related to file content to the supervising paralegal as needed.
  • Collaborate closely with the Information Governance team to manage priorities and deadlines.
  • Ensure compliance with confidentiality and file integrity standards.
  • Assist with additional tasks and special projects as assigned.


Qualifications

  • Experience working in a law firm environment, ideally with IP or trademark-related files.
  • Strong knowledge of client file management systems and legal procedures.
  • Previous document review experience strongly preferred.
  • Paralegal certification or equivalent experience a plus.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a deadline-driven environment.
  • Familiarity with Microsoft Office, network file shares, and ability to learn new software quickly.
  • Ability to lift boxes/files to 35 pounds and manage physical file handling.


Requirements

  • Associate degree or equivalent work experience in a legal setting.
  • Must be available to work onsite in Seattle 3 days per week.
  • Ability to meet standard physical demands of the role, including lifting and moving file boxes.


Work Environment & Schedule

  • Standard business hours: 8:00 AM – 6:00 PM (schedule flexibility may be required to meet deadlines).
  • Office and remote setup (3 days onsite, 2 remote).
  • Use of standard office tools and equipment (PC, scanner, videoconferencing, etc.).
  • Some travel may be required depending on project needs.
