Our client is a mid-sized commercial electrical engineering and construction firm with approximately 200 employees and after going through a recent acquisition and merger, they are positioning for exponential growth and plan to add over 100 employees in the next 6-12 months.
Their clients span across a range of industries including commercial, hospitality, education, healthcare, public works, and they do a lot of work in the multifamily and data center sectors. This team takes pride in their ability to build their business through repeat clients and referrals not to mention they have a tremendous retention ratio of their employees.
They are looking for an Estimating or BID Coordinator who can work out of their office in Irvine, CA.
Position Summary
The Estimating Coordinator provides administrative and operational support to the estimating team by setting up new projects for bid, coordinating communications with clients, vendors, and subcontractors, and ensuring all estimating activities are organized and completed on schedule. This role is ideal for a highly organized professional with strong communication skills and the ability to manage multiple priorities in a fast-paced construction environment.
Previous estimating experience is not required; however, experience with estimating software—particularly Accubid—is a plus.
Responsibilities
• Set up preliminary project information and bid packages once new jobs are identified.
• Enter and organize project data in estimating software and internal systems.
• Coordinate the assignment of projects to estimating team members.
• Track bid deadlines and ensure all required documentation is received and properly filed.
• Follow up with clients regarding bid submissions, project status, and outstanding questions.
• Communicate professionally with clients to understand project requirements and timelines.
• Coordinate with vendors and subcontractors to request pricing, proposals, etc.
• Follow up with vendors and subcontractors to ensure timely receipt of quotations.
• Maintain organized records of estimates, correspondence, and bid documents.
• Assist with preparing reports, spreadsheets, and other administrative materials.
• Support the estimating team with general administrative duties and special projects as needed.
Qualifications
• Strong administrative and organizational skills.
• Excellent verbal and written communication skills.
• Ability to interact professionally with clients, vendors, subcontractors, and internal team.
• Proficiency in Microsoft Office, especially Microsoft Excel and Microsoft Outlook.
• Experience with Accubid or other estimating software is preferred but not required.
• Ability to manage multiple projects and deadlines in a fast-paced environment.
• Strong attention to detail and follow-through.
• Construction industry experience is helpful but not required.
The annual salary for this position is between $75,000 - $95,000 Bonus. Factors which may affect pay within this range may include geography/market, skills, education, experience and other qualifications of the successful candidate.
