Client Service Manager (Hybrid – Burlingame, CA)
The Client Service Manager plays a key leadership role in delivering a high-quality client experience within a financial planning firm. This hybrid position is based out of the Burlingame, CA office, with a structured schedule of 3 days in-office and 2 days remote per week. The role partners closely with financial advisors to manage client relationships, oversee service operations, and ensure a seamless client experience. Key Responsibilities
Client Relationship Management
* Serve as a primary point of contact for clients via phone, email, and in-person interactions
* Deliver a high level of service by responding promptly and professionally to client inquiries and requests
* Schedule and coordinate client meetings, including preparation of supporting documentation
* Conduct timely follow-up after meetings to ensure client satisfaction and address next steps
Administrative & Service Oversight
* Oversee the preparation and processing of client paperwork for new accounts, transfers, distributions, and other service requests
* Submit and track account applications through custodial platforms (e.g., Schwab, Fidelity, TD Ameritrade)
* Ensure accurate and up-to-date client records within CRM systems (e.g., Redtail, Salesforce)
* Monitor outstanding items and ensure timely resolution
Operational Support
* Lead or support onboarding of new clients, including documentation and compliance requirements
* Maintain organized electronic document management systems
* Support compliance efforts by preparing reports and ensuring proper recordkeeping
* Assist with tax data input, including organizing and entering client financial information accurately to support tax preparation and planning processes
Team Collaboration & Process Improvement
* Partner with financial advisors, paraplanners, and team members to support firm objectives
* Participate in internal meetings to stay aligned on client activity and firm initiatives
* Identify opportunities to improve workflows and enhance the overall client experience

Qualifications
Required
* 3 years of client service or administrative experience, preferably in financial services
* Strong interpersonal and communication skills (written and verbal)
* Excellent organizational skills with high attention to detail
* Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
* Ability to maintain confidentiality and adhere to regulatory standards
Preferred
* Experience with financial planning software (e.g., eMoney, MoneyGuidePro) and custodial platforms
* Working knowledge of investment products and financial planning concepts
* FINRA Series 6/7 and/or 63/65 licenses (preferred, not required)
