Position Summary
The Onboarding and Staffing Coordinator is responsible for managing the full employee onboarding lifecycle and supporting staffing needs for new referrals. This role serves as a key liaison between hiring managers, HR, payroll systems, and training, ensuring all onboarding, compliance, and staffing processes are completed accurately, timely, and in accordance with regulatory requirements. The ideal candidate is highly organized, detail-oriented, proactive with follow-up, and comfortable managing multiple hires and compliance timelines simultaneously.
Essential Duties and Responsibilities
Onboarding & New Hire Coordination
- Facilitate the full onboarding process from start to finish, beginning with sending welcome emails and outlining onboarding steps for identified candidates.
- Set up new hires in WorkMarket (payroll system) and track onboarding progress through completion.
- Proactively follow up with candidates to ensure timely completion of onboarding tasks and documentation.
- Ability to meet with prospective staff in person or virtually to address and resolve onboarding issues.
- Maintain regular communication with the hiring responsible party, providing status updates and flagging delays or issues.
- Run and document all required screenings, including background checks, OIG exclusions, and HCPR checks.
- Create and maintain electronic personnel files, ensuring all required onboarding documentation is accurately completed and uploaded.
- Notify the Training Director once onboarding is complete so required trainings can be scheduled.
Compliance & Ongoing Credential Management
- Monitor compliance requirements for active staff and rerun background checks annually as required.
- Track and obtain updated or expired documentation, including driver's licenses and auto insurance policies.
- Ensure personnel files remain audit-ready and compliant with organizational and regulatory standards.
- Maintain accurate tracking logs and reminders for renewals and re-screenings.
Staffing & Referral Support
- Support staffing needs for new referrals by tracking candidates through the hiring pipeline.
- Conduct candidate pre-screening and coordinate interview scheduling with hiring managers.
- Maintain candidate tracking records and hiring status updates.
- Initiate and manage onboarding for candidates selected for hire following successful interviews.
Qualifications
- High school diploma or equivalent required; associate's or bachelor's degree in HR, Business Administration, or a related field preferred.
- Previous experience in HR onboarding, staffing coordination, or administrative HR support strongly preferred but not required.
- Experience working with payroll or contractor platforms (such as WorkMarket) preferred but not required.
- Familiarity with background checks, compliance screenings, and personnel file management.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in email, document management systems, and basic HR tracking tools.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficient in Microsoft Office Suite and or experienced with Google Drive and related applications.
Pay: $ $20.00 per hour
