Job Summary: The Alarm Monitoring Coordinator is responsible for overseeing the setting up of new monitoring accounts, managing invoicing processes, and conducting audits of existing accounts. This role requires strong organizational skills, attention to detail, and a commitment to ensuring compliance with regulations and company standards.
Key Responsibilities:
Account Setup:
- Coordinate the onboarding process for new alarm monitoring accounts, including data entry and system configuration.
- Maintain accurate records of all monitoring accounts and ensure timely activation.
- Update monitoring account data map locations.
- Schedule and coordinate monitoring conversions with Service Project Managers.
- Assist with programming alarm communicators
- Serve as first line of technical support for monitoring issues
Invoicing Management:
- Prepare and issue invoices for monitoring services, ensuring accuracy and timely delivery to clients.
- Work with the accounting department to resolve any billing discrepancies.
Account Auditing:
- Monthly audit of accounts to ensure all accounts are being invoiced for provided services.
- Monthly audit of invoices from 3rd Party Monitoring Service.
- Closing of accounts when services have been cancelled.
- Review weekly TNR reports for potential service-related issues.
- Monitor AES map for network issues.
- Application of monitoring costs to specific project number.
Client Communication:
- Serve as a point of contact for clients regarding account inquiries, billing questions, and service updates.
Qualifications:
- Previous experience in account management, invoicing, or administrative roles, ideally in the fire protection or security industry.
- Strong analytical skills and attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook) and experience with account management software.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
