The Office Administrator is responsible for supporting the daily administrative operations of the RV repair facility. This role serves as the primary point of contact for customers, manages office functions, coordinates service paperwork, and supports communication between customers, technicians, vendors, and management. The ideal candidate is organized, customer-focused, and able to multitask in a fast-paced service environment.

Key Responsibilities Administrative Support

  • Manage daily office operations and administrative tasks.
  • Answer phones, respond to emails, and greet customers professionally.
  • Maintain organized customer records, repair orders, invoices, and service documentation.
  • Schedule appointments and coordinate customer communications.
  • Process incoming and outgoing mail, packages, and paperwork.

Customer Service

  • Provide excellent customer service throughout the repair process.
  • Communicate repair updates, timelines, and service information to customers.
  • Assist customers with check-in and check-out procedures.
  • Address customer questions and escalate concerns when necessary.
  • Maintain a professional and welcoming office environment.

Service & Repair Coordination

  • Open and manage repair orders and work tickets.
  • Coordinate scheduling between customers, technicians, and management.
  • Track repair progress and update internal systems.
  • Assist with warranty claims, insurance paperwork, and approvals.
  • Ensure all documentation is accurate and completed in a timely manner.

Billing & Financial Support

  • Prepare invoices and process payments.
  • Assist with accounts payable and accounts receivable functions.
  • Maintain accurate financial records and daily cash reconciliation.
  • Support payroll processing and expense tracking as needed.
  • Monitor office supply inventory and place orders when necessary.

Vendor & Parts Coordination

  • Communicate with vendors regarding parts orders and deliveries.
  • Track parts status and notify appropriate staff of delays or arrivals.
  • Maintain vendor records and purchase documentation.

Compliance & Organization

  • Ensure office procedures comply with company policies and industry standards.
  • Maintain confidentiality of customer and company information.
  • Support workplace safety and organization initiatives.
  • Assist management with reporting and operational tracking.

Qualifications Required

  • 1 years of administrative, office support, or customer service experience.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to work independently and in a team environment.
  • Strong attention to detail and accuracy.

Preferred

  • Experience in RV, automotive or repair/service industries.
  • Familiarity with shop management or scheduling software.
  • Basic bookkeeping or accounting experience.

Physical Requirements

  • Ability to sit and work at a computer for extended periods.
  • Occasional lifting of office supplies or files up to 25 pounds.
  • Ability to move throughout the office and shop environment as needed.
