We’re Ruzzo, a fast growing hard citrus brand with a taproom (Ruzzo’s Retreat) and a production/warehouse operation. We’re hiring a part-time Bookkeeper / Accounting Coordinator to take ownership of our books across two entities.

Schedule Pay

Role Summary
- Own day to day bookkeeping and accounting coordination across two businesses:- Ruzzo (R): warehouse/production- Ruzzo’s Retreat (RR): taproom/retail
Your job is to keep the books clean, keep compliance handled, make leadership confident in the numbers, and continuously strengthen the systems so we can scale without chaos.
What You’ll Own (Core Responsibilities)Bookkeeping Accuracy (R RR)
- QuickBooks Online bookkeeping for both entities
- Bank and credit card transaction categorization with clean documentation and receipt capture
- Track and follow up on transactions missing information
- Continually seek ways for process improvement
Sales Deposits (Especially Taproom)
- Daily/weekly sales posting workflows (Square deposits)
- Deposit matching and applying payments
- Tip tracking and allocation support as needed
- Invoicing workflows and payment tracking (including OPTS entries as applicable)
Payroll (R RR)
- Semi monthly payroll cycles with clear deadlines
- Gather/verify timecards, tips, and payroll inputs
- Process payroll in Patriot (and coordinate with any related timecard systems)
- Post payroll journal entries into QuickBooks
- Support weekly commission tracking and payments
Month-End Close Reporting (R RR)
- Monthly bank reconciliations for both entities
- Monthly P&L delivered with notes and explanations
- Flag issues early, fix them fast, and keep the books decision ready
- Inventory adjustments and month end entries (donations, samples, waste, etc.)
Compliance Filings (R RR)
- OLCC privilege tax filings (monthly)
- WA tax filings (monthly)
- OBRC reporting (semi annual)
- SAIF audit reporting (annual)
- Insurance audits/renewals support and data requests W2/1099 support and year-end coordination Business license renewals and periodic state filings as needed
Build the System (This Is Where You Shine)
- Document repeatable processes so the role isn’t tribal knowledge
- Create a clean monthly close checklist and improve it over time
- Identify friction points and propose solutions
- Help us develop what “great” looks like for an accounting function in a growing company

- QuickBooks Online (two separate companies)
- Patriot Payroll
- Square
- Google Drive/Sheets
- Other internal tracking tools during transition

Ideal Experience
- 3 years bookkeeping experience (Wanted but not needed)
- Comfort with month end close and reconciliations
- Payroll experience
- Bonus: hospitality/taproom, alcohol/beverage, multi-entity experience, inventory familiarity

- Books are current and reconciled monthly on time
- Payroll runs smoothly with correct tips and clean JEs
- All filings are on time without scrambling
- P&L is accurate, delivered consistently, and trusted
- Processes are cleaner, faster, and documented
- Leadership has clearer numbers to drive growth decisions
Pay: $22.00 - $26.00 per hour
