We are looking for an organized, friendly, and dependable Patient Coordinator to join our team. This position plays a key role in creating a smooth patient experience from the first phone call through check-in, treatment coordination, and checkout.
We are looking for someone who communicates well, stays organized in a busy dental environment, and is comfortable managing both patient-facing responsibilities and administrative tasks.
Responsibilities:
- Greet patients and manage the check-in and checkout process
- Answer incoming calls, texts, and other patient communications
- Schedule and confirm appointments
- Maintain an organized and productive patient schedule
- Communicate with patients regarding appointments, treatment, outstanding paperwork, and follow-up needs
- Review treatment plans with patients and assist with scheduling recommended treatment
- Ensure treatment plans and required consents are signed and properly documented
- Collect and maintain complete new-patient paperwork
- Obtain and upload current driver's licenses and insurance cards
- Verify dental insurance eligibility, coverage, benefits, frequencies, deductibles, maximums, and other relevant plan information
- Update patient demographic and insurance information as needed
- Collect patient portions and payments at checkout
- Coordinate with the clinical team to ensure patients are prepared for their appointments
- Monitor incomplete patient documentation and follow up as necessary
- Maintain accurate patient records within the practice-management system
- Assist with keeping the front office, reception area, and shared office spaces clean and organized
- Perform other light administrative and office duties as needed
Systems We Use:
Rugby Dental Arts currently uses:
- Open Dental – practice management
- Flex – patient forms, communication, and related patient-management functions
- Vyne – insurance and administrative workflows
Experience with these systems is a plus, but we are willing to train the right candidate.
Qualifications:
- Previous dental front-office experience strongly preferred
- Experience verifying dental insurance benefits preferred
- Comfortable discussing treatment plans, insurance benefits, and patient financial responsibility
- Strong written and verbal communication skills
- Professional and welcoming with patients
- Highly organized with strong attention to detail
- Comfortable managing multiple priorities throughout the day
- Dependable and able to work independently
- Basic computer proficiency and ability to learn new dental software
- Understanding of HIPAA and patient confidentiality
- Team-oriented attitude and willingness to help where needed
What Success Looks Like in This Role:
The Patient Coordinator helps ensure that every patient arrives prepared, that required documentation is complete, that insurance information has been verified, that treatment is scheduled appropriately, and that patients understand what comes next.
This person should be able to take ownership of the front-office patient experience while keeping communication, scheduling, documentation, and insurance information organized and up to date.
Pay: $18.00 - $24.00 per hour
