Position Summary
The Property Manager will oversee all day-to-day property and facilities management for Rubicon Development, a small, locally owned real estate investment and development firm with approximately 100 commercial and residential units. This role is responsible for maintaining strong relationships with tenants, ownership, and vendors while ensuring properties are well-maintained, financially performant, and compliant with local, state, and federal regulations. The ideal candidate is personable, resourceful, a self-starter, and able to commit to the position for a minimum of two years. Further growth opportunities may arise within that period or thereafter.
Key Responsibilities
Marketing and Leasing
Create and distribute marketing materials and online listings to attract qualified tenants. Schedule and conduct property tours; interview and screen prospective tenants, including background and credit checks. Draft, negotiate, and execute commercial and residential lease agreements in accordance with applicable laws and company standards. Coordinate move-ins, move-outs, and renewal discussions to minimize vacancy and turnover.
Tenant Relations
Serve as primary point of contact for tenant questions, maintenance requests, concerns, and complaints, ensuring timely and professional resolution.Enforce lease terms, rental policies; issue notices and manage rental violations as needed. Foster a positive tenant experience to support renewals and reduce turnover.
Property and Facilities Management
Conduct regular interior and exterior property inspections to ensure safety, cleanliness, and curb appeal. Coordinate and follow up on maintenance and repair work, prioritizing time-sensitive issues and emergencies. Assist the Controller with sourcing, negotiating, and managing contracts for maintenance, trash removal, landscaping, security, and other building services. Monitor vendor performance, address service disputes when necessary, and maintain up-to-date vendor records and certificates of insurance.
Financial and Administrative
Manage rent collections, monitor delinquencies, and issue late notices; coordinate payment plans and, when necessary, evictions in accordance with applicable laws. Process and code invoices, assist with bill payments, and support Controller with basic property related bookkeeping and reporting in QuickBooks. Maintain accurate and organized digital and physical records, including tenant files, leases, contact lists, inspection reports, calendars, and service contracts.
Compliance and Risk Management
Ensure properties operate in compliance with relevant landlord-tenant laws, fair housing regulations, building codes, and safety requirements. Assist with implementation of policies and procedures that reduce risk and protect company and ownership interests.
Minimum Qualifications
- High School Diploma or GED required; additional coursework or certifications in real estate, property management, or business is a plus.
- 2–3 years of experience in property management, real estate, or a related field strongly preferred but not required.
- Working knowledge of commercial and residential lease structures and applicable rental and landlord-tenant laws.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and basic propertymanagement or accounting software.
- Proficiency in QuickBooks or similar accounting platform.
- Strong written and verbal communication skills, with the ability to communicate professionally via email, phone, text, and in-person.
- Effective time management skills, including the ability to prioritize, meet deadlines, and handle multiple tasks simultaneously in a fast-paced environment.
- Strong organizational skills and exceptional attention to detail.
- Reliable transportation and a valid driver's license.
- Ability to be on-call for occasional after-hours emergencies and urgent issues.
