Job Summary:
The Customer Service position at RTS Companies US Inc. is crucial for managing customer service and sales activities. The role involves handling telephone inquiries, processing orders, coordinating shipments, and maintaining positive customer relations. The successful candidate will be adept at managing a high volume of data and communicating effectively with both internal and external customers.
Key Responsibilities:
Customer Service and Sales:
- Handle telephone inquiries, providing detailed product information, pricing, and availability to customers.
- Perform inside sales activities, including managing customer accounts, tracking orders, and following up on leads.
- Provide leads to the sales team to help drive new business opportunities.
- Communicate effectively with internal and external customers via phone and email to address inquiries and resolve issues promptly.
Order Processing and Coordination:
- Input incoming orders into the system, ensuring accuracy and addressing any discrepancies.
- Coordinate shipment delivery schedules, preparing bills of lading and custom documents as needed.
- Process product returns, handling RGAs and NCRs to resolve issues quickly.
- Notify customers upon order completion and arrange transportation according to their preferences.
Shipping and Documentation:
- Gather and compare freight quotes to provide cost-effective shipping options for customers.
- Reconcile freight issues to ensure timely and accurate delivery of products.
Administrative Duties:
- Manage electronic orders from various retailers, ensuring timely processing and delivery.
- Maintain accurate customer inventories and report any discrepancies.
- Perform clerical duties, such as filing, maintaining records, and preparing reports and spreadsheets using Excel.
Customer Relations:
- Maintain positive customer relations by addressing phone inquiries, resolving issues related to warranty replacements, and handling complaints.
- Manage customer complaints and product returns due to inaccurate shipments, ensuring swift resolution.
Secondary Duties:
- Provide backup support to other inside salespersons as needed.
- Assist the Supervisor with additional tasks and projects.
Expected Contacts and Communication:
- Purchasing: Actively communicate to purchasing any items supplied outside of RTS for orders to verify lead times and ensure timely delivery of materials required for customer orders.
- Customers: Maintain open communication regarding order ship dates, lead times, acknowledgements, and any potential delays or issues. Handle inquiries related to order status, product information, and service issues.
- Sales: Collaborate with sales representatives to address issues with orders or customers, provide updates on order status, and share customer feedback to improve service.
- Production Management: Provide status updates on orders, coordinate with production to ensure timely fulfillment, and communicate any changes in order specifications or delivery schedules.
- Accounting Department: Reconcile freight bills, manage customer accounts, address accounts receivable issues, and ensure accurate invoicing and payment processing.
Qualifications:
- Minimum of 3 years of experience in customer service and sales environments (manufacturing preferred but not necessary).
- Strong verbal and written communication skills.
- Good time management and organizational skills.
- Good human relations skills in a manufacturing environment.
- Ability to manage multiple tasks while maintaining effectiveness.
- Proficiency in Adagio and MS Office applications.
