Job Description
We are seeking a skilled and energetic Accounting & Maintenance Coordinator for a growing portfolio of commercial & association clients in the Greater Gallatin Valley area. The Accounting & Maintenance Coordinator will be able to work independently and be self-directed while also functioning well in a team environment, delivering exceptional customer service in their interactions with clients and vendors. Essential Job Responsibilities:
- Bookkeeping Duties: Process day-to-day financial transactions, accounts payable/receivable, ledgers, and general ledger reconciliation. Maintain accurate records, prepare invoices, statements, deposits, and financial reports. Monitor budgets, review client reserves, and highlight discrepancies or compliance issues. Provide administrative support including scanning, mail distribution, and data entry.
- Project Management: Manage all work orders and projects for associations & commercial properties. Ensure work is being done timely and accurately.
- Owner/Tenant Communication: Communicate with owners and commercial tenants in a professional manner regarding ongoing projects.
- Property Inspections: Regular inspections to ensure cleanliness & compliance with all bylaws & city guidelines.
- File Management: Manage vendor documentation, insurance, keys, and property documents.
- Vendor Relations: Coordinate with vendors for work orders and ongoing projects. Ensure all bids are approved before moving forward with work.
- Critical Thinking: Utilize AppFolio software to look back at previous work done and decipher what needs to be done moving forward. Participate in on-call rotation for after-hours property emergencies.
Secondary Job Responsibilities:
· Cross train on some job functions to provide depth and breadth of expertise and backup redundancy and support to the company and property management teams during periods of high demand
Professional Qualifications & Requirements:
- Computer skills required - Microsoft Office Products [Word, Excel, Outlook]
- Computer skills preferred - Teams, AppFolio
- Valid Driver’s License; Reliable vehicle and auto insurance required
- Previous bookkeeping experience preferred, but not required

Compensation:
- Rate of Pay: $22-$24 Per Hour based on experience.
- 20 PTO Days annually; plus 6 Holidays annually
