Position: Client Service Associate

Location: Philadelphia, PA

Schedule: 9-5, with some flexibility (24-32 hours a week)


Job Description:

We are seeking a dedicated Client Service Associate (CSA) to join our team. This is a part-time position which will ideally transition into a full-time role within 3-6 months with a hybrid schedule pending on performance.


This role is a vital part of the client service department, working closely with Financial Planners and fellow associates to provide extraordinary support to clients.


As a key member on a “Dream Team,” you will work with an established client base and play an integral role in supporting the growth of a forward-thinking firm that is deeply committed to delivering exceptional client service and an outstanding client experience. You'll work independently on day-to-day tasks while having the support of your “Dream Team” and the client service department.


We're looking for someone who can manage their own workload, prioritize effectively, and know when to ask questions versus when to problem-solve on their own. Success in this role requires someone who can stay organized in an environment where client needs can shift quickly, is detailed oriented, approachable, and a team player.


Hiring timeline:

·      Due to start of the new year we will begin scheduling initial phone calls and interviews by January 23rd


Responsibilities:

·      Serve as a primary point of contact for clients, delivering timely and proactive service while fostering strong relationships built on trust and reliability

·      Guide clients through the onboarding and account-opening process, including preparing all necessary paperwork

·      Address account inquiries, process cash requests, and resolve service-related issues with accuracy and professionalism

·      Respond to client questions and concerns with a high level of care, ensuring a positive and seamless experience

·      Act as a liaison between clients, advisors, custodians to facilitate smooth account operations and resolve issues efficiently

·      Build personal rapport with clients so they feel confident and comfortable reaching out to their CSA for support

·      Review and maintain accurate client data in CRM (Customer Relationship Management) and ensure all records are kept current

·      Interpret meeting notes to stay up to date on client activities, preferences, and follow-up actions for both the client and the firm

·      Participate in client meetings as needed to support planners and document action items

·      Monitor, review, and assist in refining service workflows to enhance team efficiency and consistency

·      Maintain in-depth knowledge of custodial platforms and their websites to effectively navigate and support client needs


Skills:

·      Excellent verbal and written communication skills

·      High attention to detail and commitment to accuracy

·      Strong organizational and time-management skills

·      Ability to work both independently and collaboratively with a Personal Wealth Management team to deliver a seamless, high-touch client experience

·      Positive attitude and a client-first mindset


Qualifications:

·      Bachelor’s degree required or Summer 2026 graduation date

·      Client service experience is a plus

·      Proficiency with Microsoft Office and CRM systems; experience with custodians like Schwab is a plus

·      Positive attitude, client-first mindset, and personable

·      FPQP® (Financial Paraplanner Qualified Professional) designation is plus


Wage:

·      $28.85 hour

·      Will transition to salary and receive benefits upon becoming a Full-time hire
