RSVP Events is seeking an experienced and highly organized Wedding Planner to join our team on a contract basis. We are looking for a detail-oriented professional who is passionate about creating exceptional client experiences and thrives in both remote planning environments and fast-paced event settings.
This role is ideal for someone who can confidently manage multiple moving pieces while maintaining a calm, polished, and client-focused presence throughout the planning process.
While much of the planning process can be completed remotely, candidates must reside in the Greater Grand Rapids area due to required on-site event management, venue walkthroughs, rehearsals, and occasional in-person meetings with clients and vendors.
Position Overview
As a Wedding Planner with RSVP Events, you will serve as the primary point of contact for clients throughout the planning process. You will oversee event logistics from initial consultation through wedding day execution, ensuring every detail is handled with professionalism, creativity, and precision.
The ideal candidate is proactive, resourceful, highly communicative, and capable of delivering a seamless planning experience while representing the RSVP Events brand at the highest level. This is an independent contractor position with the opportunity for ongoing collaboration and growth within the company.
Key Responsibilities
Responsibilities include, but are not limited to:
- Lead planning meetings via video call, phone, and in-person consultations
- Build and maintain strong relationships with clients, venues, and vendors
- Manage client communication in a timely, professional, and organized manner
- Research, recommend, and coordinate vendors based on client needs and budgets
- Review vendor contracts and monitor planning deadlines
- Create and manage detailed wedding timelines, logistics plans, and production schedules
- Assist with event layout development and floor plan coordination
- Provide design guidance and support for overall event aesthetic and guest experience
- Coordinate wedding rehearsals and oversee full wedding day execution
- Manage vendor arrivals, setup, timeline flow, and troubleshooting on-site
- Attend venue walkthroughs, tastings, and vendor meetings as needed
- Ensure events are executed smoothly while maintaining a high level of professionalism under pressure
Qualifications & Requirements
- Minimum of 2 years of wedding planning or event coordination experience required
- Must reside in the Greater Grand Rapids area
- Strong organizational and multitasking abilities with exceptional attention to detail
- Excellent interpersonal and communication skills
- Ability to work independently and manage multiple events simultaneously
- Comfortable working flexible hours, including evenings and weekends
- Confident in making decisions and problem-solving in fast-paced environments
- Experience managing wedding timelines and day-of logistics
- Professional, polished, and client-focused demeanor
- Proficiency in Google Workspace required; Canva experience preferred
- Reliable transportation and willingness to travel locally as needed
- Must be comfortable standing/walking for extended periods and lifting light event materials when necessary
Preferred Qualities
- Strong understanding of wedding etiquette and event flow
- Creative eye for event design and styling
- Experience working with luxury, upscale, or highly personalized events
- Ability to remain calm and composed under pressure

Schedule Expectation
- Average workload ranges from 6-7 weddings per wedding season (April through October)
Compensation
- Compensation is commission-based and tied to booked event packages. Planners typically earn 25%–30% per event, with rates determined by experience, expertise, and overall role responsibilities.
