The Insurance Support Specialist plays a critical role in ensuring that time-sensitive insurance correspondence reaches payers and patients accurately, securely, and on time. Based onsite at our Columbia, SC office, you’ll be responsible for printing, mailing, and faxing Protected Health Information (PHI) on behalf of our Insurance team—handling every document with strict attention to HIPAA compliance, patient privacy, and quality. Your work directly supports the revenue cycle and helps our healthcare provider clients receive the reimbursement they’ve earned.

The Insurance Support Specialist plays a critical role in ensuring that time-sensitive insurance correspondence reaches payers and patients accurately, securely, and on time. Based onsite at our Columbia, SC office, you’ll be responsible for printing, mailing, and faxing Protected Health Information (PHI) on behalf of our Insurance team—handling every document with strict attention to HIPAA compliance, patient privacy, and quality. Your work directly supports the revenue cycle and helps our healthcare provider clients receive the reimbursement they’ve earned.
What You'll Do:
- Print, prepare, and mail insurance correspondence, appeals, medical records, and patient communications containing PHI in accordance with HIPAA and company security standards
- Securely fax claims, supporting documentation, and authorization requests to insurance carriers and providers using approved, HIPAA-compliant faxing platforms
- Verify the accuracy of each outgoing document—confirming recipient information, attachments, cover sheets, and patient identifiers—prior to transmission
- Maintain detailed logs of all outgoing mail and fax transmissions, including timestamps, recipients, confirmations, and delivery statuses
- Monitor fax queues for successful transmission, troubleshoot failures, and resend documents as needed to meet payer deadlines
- Safeguard PHI at all times by following secure printing, document handling, shredding/disposal, and home-office security protocols
- Process returned mail, undeliverable faxes, and rejected transmissions by researching correct contact information and re-routing as appropriate
- Manage inventory of office supplies required for the role, including paper, envelopes, postage, and related materials
- Partner with Insurance Representatives and Supervisors to prioritize urgent correspondence and meet daily, weekly, and monthly production goals
- Respond promptly to internal requests for document resubmission, proof of mailing, or fax confirmations
- Identify and escalate workflow inefficiencies, equipment issues, or potential compliance concerns to the appropriate supervisor
- Adhere to all company and departmental policies and procedures, including HIPAA, privacy, and remote work security standards
- Performs other related duties as assigned.
- High school diploma or equivalent
- 1–2 years of experience in healthcare administration, medical records, insurance support, or a similar document-handling role (revenue cycle experience preferred)
- Working knowledge of HIPAA regulations and best practices for handling Protected Health Information
- Strong attention to detail with the ability to catch errors in recipient information, attachments, and patient identifiers before transmission
- Comfort with office technology, including printers, scanners, and secure electronic fax platforms
- Solid organizational skills and the ability to manage a high-volume workload with competing deadlines
- Clear written and verbal communication skills
- Self-motivated and dependable, with strong time management in a fast-paced office environment
- Able to reliably commute to our Columbia, SC office for the full Monday–Friday schedule
