Responsibilities
- Perform daily office operations, including managing front desk activities and multi-line phone systems to ensure efficient communication.
- Maintain organized filing systems, data entry, and record keeping using tools like Microsoft Office, Google Workspace, and QuickBooks.
- Provide exceptional customer service by greeting visitors, managing inquiries, and supporting client interactions with professionalism and courtesy.
- Coordinate calendar management, appointment scheduling, and meeting arrangements for staff members or executives.
- Handle clerical duties such as contacting customers by phone and or email, managing correspondence, and performing general administrative support tasks.
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record management.
- Manage office supplies inventory, coordinate repairs or maintenance needs, and ensure the office environment remains organized and welcoming.
- Assist with special projects along side upper management.
- Demonstrate excellent phone etiquette while supporting customer support efforts via phone or email communications.
- Utilize organizational skills to prioritize tasks effectively while maintaining high levels of accuracy in all work.
Experience
- Proven experience in office management or administrative roles with a strong background in clerical work and customer service.
- Familiarity with office software such as Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and QuickBooks for bookkeeping purposes.
- Previous experience handling multi-line phone systems, front desk operations and, receptionist duties in professional settings.
- Demonstrated organizational skills with the ability to manage multiple priorities efficiently while maintaining attention to detail.
- Experience with data entry, filing systems, proofreading documents, and calendar management is essential.
- Knowledge of office equipment operation including printers, scanners, and basic troubleshooting skills are preferred.
- Strong time management skills combined with excellent phone etiquette to provide outstanding customer support in a fast-paced environment.
