Rental Coordinator
Position Overview
The Rental Coordinator is a vital member of the operations team, responsible for managing the end-to-end rental process for our equipment. This role serves as the primary point of contact for sales and customer reservations, ensuring seamless delivery, high-quality customer service and efficient logistical coordination. The ideal candidate is highly organized, detail-oriented and excels in a fast-paced environment.
Key Responsibilities
- Rental Lifecycle Management: Oversee the entire rental cycle from initial inquiry and reservation to equipment return and final billing.
- Client Relations: Act as the lead liaison for sales and rental customers, providing expert product knowledge, processing reservations and resolving issues promptly to maintain high satisfaction levels.
- Logistics Coordination: Update required delivery and call off dates, ensuring all reservation information is accurate per the customer requirements.
- Administrative Documentation: Prepare and manage rental contracts, insurance certificates and invoicing. Ensure all compliance documents are received appropriately.
- Process Improvement: Identify opportunities to streamline the rental workflow and improve internal communication between departments.
Qualifications
- Education: High school diploma or equivalent required; an Associate’s or Bachelor’s degree in Business Administration or Logistics is preferred.
- Experience: Minimum of 2–3 years of experience in rental operations preferred.
- Technical Skills: Proficiency in rental management software, google workspace and office suite.
- Communication: Exceptional verbal and written communication skills with the ability to negotiate and de-escalate client concerns.
- Organizational Skills: Proven ability to multitask and manage competing priorities under tight deadlines. Ability to work in a fast-paced environment.
Physical Requirements and Schedule
- Ability to remain in a stationary position for extended periods while managing administrative tasks.
- Standard first shift operating hours with occasional overtime required during peak seasons or for special events.
