This position is responsible for handling inbound customer inquiries, preparing quotes, creating rental contracts, and coordinating logistics for deliveries and pickups. The role requires a strong understanding of the rental process, equipment capabilities, and the ability to prioritize tasks in a fast-paced environment.
This individual is often the primary point of contact for many customers and is expected to provide exceptional service while managing multiple rental transactions at once. Strong communication skills, attention to detail, and the ability to work closely with dispatch, delivery drivers, and service teams are essential.
Key Responsibilities
- Respond promptly and professionally to incoming rental inquiries via phone, email, and walk-ins
- Prepare accurate rental quotes and contracts based on customer needs and equipment availability
- Coordinate equipment deliveries, pickups, and exchanges with the operations and logistics teams
- Develop long-term relationships with new and existing customers through excellent service and consistent follow-up
- Maintain detailed records in rental management software
- Assist with inside sales efforts including outbound calls to dormant or prospective clients
- Track open rentals and proactively follow up on rental extensions or returns
- Handle customer concerns or complaints with urgency and professionalism, escalating when needed
- Maintain up-to-date knowledge of equipment, safety requirements, and rental policies
- Support walk-in customers and assist with basic equipment walkthroughs when needed
- Collaborate with field sales and management to meet company goals and improve rental efficiency
Qualifications:
- Prior experience in inside sales, rental coordination, customer service, or a related field
- Strong motivation to succeed and deliver value to both the customer and the business
- Excellent verbal and written communication skill
- Proven ability to build rapport and maintain positive customer relationships
