What are the responsibilities and job description for the Business Operations Associate position at Royanis?
The role
You will report directly to the CEO and be responsible for administrative and operational tasks under his direction.
Responsibilities
Executive support. Assist with the CEO's calendar and inbox, drafting and sending routine correspondence within agreed guidelines and escalating the rest. Prepare meeting notes, maintain his active task list, and provide reminders. Assist with the logistics of five to six business trips per year.
Finance operations. Issue client invoices through QuickBooks on schedule, track receivables, and send payment reminders. Document and file expenses. Serve as the day-to-day contact for our accounting and tax firm: calendar the deadlines, deliver documents early, escalate questions promptly.
Compliance administration. Maintain compliance with federal and California requirements — filings, registrations, renewals, required notices and trainings, workers' compensation, CalSavers — working with the CEO and our outside advisors. The goal is zero missed deadlines.
People operations. Coordinate onboarding for upcoming employees: payroll setup with our accountant and platform, equipment, documentation, first day. Collect weekly status from team leads and keep the CEO's overview current.
Legal coordination. Manage contract intake: first-pass review using our approved AI tools, version and signature tracking, and escalation to outside counsel according to set thresholds.
Clients, business development, and events. Support client scheduling and follow-ups, track business development opportunities, assist with research, and handle event logistics — venues, catering, invitations, RSVPs — for happy hours, expert panels, and conference appearances.
The ideal candidate
The ideal candidate has excellent writing skills and prides themselves on self-sufficiency and a helpful attitude. Experience in operations, executive support, client services, or a comparable role; backgrounds in finance, accounting, or legal studies are a plus. QuickBooks experience preferred, or the ability to learn it quickly. Skilled use of AI tools, with the judgment to edit their output to a professional standard. Availability for the full on-site early schedule is required. If a 6am start fits your life (early risers, evening students), this structure is a feature, and it is predictable.
