Position Summary
Royal Oaks Residential Treatment Center is seeking a highly organized, dependable Administrative Assistant to support daily administrative and human resources operations. This role is essential to maintaining efficient office functions, accurate documentation, and professional HR support for leadership and staff. The ideal candidate is detail-oriented, discreet, and able to manage multiple priorities in a structured, fast-paced environment.
Key Responsibilities
Administrative Duties
- Provide administrative and clerical support to executive leadership and program staff
- Manage front office operations including phone calls, emails, mail, and visitor coordination
- Maintain accurate and confidential records, files, and electronic databases
- Schedule meetings, appointments, and manage staff calendars
- Prepare correspondence, reports, forms, and internal communications
- Track documentation, deadlines, and required administrative logs
- Coordinate office supplies, equipment, and vendor communications
- Assist with audits, inspections, and document requests as needed
- Ensure compliance with internal policies, confidentiality standards, and professional office practices
Human Resources Support
- Assist with employee onboarding and offboarding paperwork
- Maintain personnel files, ensuring accuracy and confidentiality
- Track employee credentials, background checks, training documentation, and renewals
- Support recruitment efforts including job postings, interview scheduling, and candidate communication
- Assist with payroll preparation by tracking time sheets, attendance, and leave records
- Support benefits enrollment and employee information updates
- Assist with staff disciplinary documentation and HR correspondence as directed
- Serve as a point of contact for routine HR inquiries while escalating sensitive matters appropriately
Qualifications
- Bachelors degree preferred
- Minimum of 2 years of administrative or HR support experience
- Strong organizational, time-management, and multitasking skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office and standard office systems
- Ability to handle sensitive employee and organizational information with discretion
- Strong attention to detail and professional judgment
Preferred Skills
- Experience in healthcare, behavioral health, or residential care environments
- Knowledge of basic HR practices and employment documentation
Work Environment
This position is based in an office setting within a residential treatment environment. Regular interaction with staff, leadership, residents, and external partners is expected.
