Roy Jorgensen Associates is currently seeking a full time Project Administrator. This position will be directly responsible for the administration support of facility maintenance and repair project work including interacting with remote technicians, data entry, answering phone calls, assigning work orders, scheduling work orders, creating production and scheduling reports for field operations, preparing client reports, keeping all data current and accurate and other advanced roles as needed. In addition, the Administrator will be responsible for Maintenance System Management of Service Requests, work scheduling and planned work activities and will serves as system administrator for project related work utilizing the following software systems; Building Engines CMMS and JDE system. The service request and work order system are the central hub of our field operations and it is critical that the system be managed properly daily. Responsibilities include:
Major Functions of the Job
- Administer and maintain in-house database management system (Building Engines and JDE) including but not limited to work order management, querying reports, review of customer service requests, etc.
- Answer, screen, and direct all incoming communications.
- Create and modify documents using Microsoft Office products
- Perform general clerical duties
- Maintain an effective medium of communication and close collaboration among clients and team members in the organization.
- Apply customer service focus to all job duties.
- Support project scheduling.
Minor Functions of the Job
- Participate in weekly administrative meetings and required training.
- Be a dependable, reliable, and highly organized member of the team with business maturity, discretion, enthusiasm, and positive attitude.
- Show initiative; seek out work and get the job done without being told.
- Perform a series of administrative functions
- Aid other team members as necessary.
Qualifications
- High School Diploma or GED; some college courses preferred, but not required
- Neat, clean and presentable appearance
- Knowledge of general administrative activities
- Knowledge of Microsoft Office software
- Solid organizational planning
- Proper phone technique and protocol
- Excellent verbal and written skills
- Ability to adapt and champion accelerated company initiatives
- Ability to establish priorities and manage workload
- Neat and legible handwriting skill
- Ability to read and understand manuals, write documents following prescribed formats
- Ability to understand multi-step written and oral instructions
- Self-starter who can work independently and can meet changing deadlines
Schedule:
Full time; Day shift, Monday through Friday. Must be able to work nights and weekends as required.
