Responsibilities
- Greet guests warmly upon arrival, providing exceptional customer service and guiding them through their spa experience
- Manage appointment bookings using multi-line phone systems, online scheduling platforms, and calendar management tools
- Coordinate with therapists and staff to ensure smooth scheduling, including last-minute adjustments and special requests
- Handle all front desk duties such as answering inquiries, processing payments, and maintaining accurate records with computer literacy tools like Microsoft Office and Google Workspace
- Maintain cleanliness, organization, and proper filing of client records, treatment logs, and administrative documents
- Oversee office management tasks including data entry, filing, proofreading documents, and bookkeeping using QuickBooks or similar software
- Ensure adherence to phone etiquette standards while providing prompt support for customer questions or concerns
Experience
- Previous office or administrative experience in a customer service setting, preferably within a wellness or hospitality environment
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
- Proficiency in computer skills including Microsoft Office Suite (Word, Excel), Google Workspace (Gmail, Calendar), data entry, and basic bookkeeping software like QuickBooks
- Excellent communication skills; bilingual abilities are highly desirable for serving diverse clientele
- Experience with front desk operations, multi-line phone systems, and clerical tasks such as proofreading and filing
- Knowledge of office management practices including calendar management, time management techniques, and personal assistant responsibilities
- Demonstrated ability to provide outstanding customer support while maintaining professionalism and positive attitude
