Site Safety Representative
OVERVIEW
The Site Safety Representative supports the Director of Safety in implementing the Company’s risk management, safety, and compliance initiatives.
This position plays a key role in coordinating claims, supporting incident investigations, maintaining records, and ensuring compliance with safety protocols and DOT regulations.
The Site Safety Representative will provide support in the areas of:
Claims Support & Legal Coordination
- Assist the Director of Safety in managing general liability, property, automobile, and pre-litigation claims
- Coordinate with attorneys and third-party administrators (TPAs) on claims and lawsuits, including scheduling depositions and organizing documentation
- Support investigations by reviewing police reports, camera footage, and other evidence to help evaluate and process insurance claims
- Track claim statuses, ensure proper documentation, and maintain up-to-date records on reserves, payments, and recoveries
- Help determine policy coverage and identify potential fraud; support legal counsel when needed
Data Tracking & Reporting
- Maintain and update incident and claims tracking systems with accurate coding by location, department, and type of incident
- Compile and produce reports that highlight trends, risks, and outstanding issues for review by the Safety and Risk teams
- Prepare presentations and distribute relevant data to insurance providers, legal teams, and internal stakeholders
Safety Program Coordination
- Assist in the coordination and delivery of company safety and loss prevention programs, including training, emergency preparedness, and orientations
- Monitor compliance with company safety policies and track employee training and certifications
- Support implementation of safety incentive and inspection programs and ensure proper documentation is completed and filed
- Identify patterns in incidents and help implement solutions to reduce risks
On-Site Support & Incident Response
- Conduct on-site visits at company locations twice per month, ensuring all locations are visited at least once annually
- Support post-incident procedures, including drug screening coordination and field follow-ups
- Assist with incident investigations and provide onsite training and support as needed
DOT & Driver Compliance
- Help manage DOT and company driver compliance programs by:
- Maintaining driver qualification files and databases
- Monitoring and sending notifications for expiring driver’s licenses and medical certificates
- Coordinating DOT physicals and annual qualification reviews
- Working with third-party compliance teams during internal and official DOT audits
- Monitoring vehicle camera alerts and assisting in reporting unsafe driving behavior to market managers
Administrative & General Support
- Organize and assemble claim files; ensure data accuracy and confidentiality
- Prepare documentation, assist in scheduling, and manage distribution of internal safety and security reports
- Support the Risk and Safety team with ongoing tasks, special projects, and ad-hoc administrative needs
QUALITIES AND QUALIFICATIONS we look for in an ideal candidate:
- Associate’s degree or equivalent experience required
- Bilingual English-Spanish a plus
- Valid Driver’s License with offense-free driving record
- Ability for periodic travel to our various locations of operation
- Ability to multitask while remaining efficient and accurate
- Excellent oral and written communication skills
- Familiarity with various computer-based programs and tasks and the ability to quickly adapt
- Ability to gather, record, analyze, and report data accurately and concisely
- Exercise discretion regarding sensitive employee and/or Company information
COMPENSATION AND BENEFITS we offer:
- $39,800 - $70,000 annually based on experience and/or certifications
