Roto-Rooter is seeking an organized and personable Safety Program Administrator to provide administrative and program support to the Director of Safety. This is primarily an office-based role responsible for safety documentation, regulatory recordkeeping, training coordination, incident reporting, data tracking, quality-control audits, and consistent follow-up with field teams and managers.

The position supports company-wide safety programs, including excavation and trenching, fleet safety, workers' compensation, and OSHA compliance. The successful candidate will bring practical safety knowledge, excellent interpersonal and social communication skills, strong office and computer capabilities, exceptional attention to detail, and the persistence to drive open items through completion.

Essential Duties and Responsibilities

Safety Administration and Program Support

  • Provide daily administrative and program support to the Director of Safety and serve as a central point of coordination for routine safety matters.
  • Maintain accurate, organized, and confidential safety, training, incident, workers' compensation, and compliance records.
  • Track open safety items and follow up with employees, supervisors, and managers until required documentation and corrective actions are complete.
  • Prepare recurring safety reports, spreadsheets, dashboards, presentations, meeting materials, and management summaries.
  • Coordinate safety meetings and training sessions; maintain agendas, attendance records, certifications, and renewal dates.
  • Assist with new-hire safety orientation and distribute policies, alerts, toolbox talks, and training materials.
  • Respond professionally to routine safety questions and escalate complex, sensitive, or urgent concerns to the Director of Safety.

Excavation Safety Documentation and ServiceTitan

  • Provide administrative support to the designated Competent Person by receiving calls, field reports, and documentation concerning excavation conditions, hazards, staffing, or safety concerns.
  • Review submitted excavation records for completeness and alignment with company requirements and applicable OSHA excavation and trenching standards.
  • Verify that documentation reflects required safety controls, including protective systems, atmospheric testing when applicable, safe access and egress, and authorized personnel.
  • Monitor reported excavation staffing and personnel assignments for consistency with job requirements; promptly report discrepancies or unauthorized personnel.
  • Ensure excavation-related purchase orders, receipts, permits, inspection logs, and other required records are uploaded and linked to the correct job in ServiceTitan.
  • Audit ServiceTitan photo documentation to confirm required pre-excavation, active-work, and post-excavation phases are captured, clear, timely, properly labeled, and linked to the correct job.
  • Review photos for visible documentation of required safety measures, such as protective systems, barricades, equipment placement, and access or egress.
  • Follow up with field teams and supervisors to resolve missing, late, unclear, incorrectly linked, or incomplete records and photographs.
  • Maintain standardized checklists and conduct regular administrative audits of completed excavation jobs for documentation quality and compliance.
  • Provide coaching and feedback to field personnel regarding documentation expectations and recurring deficiencies.

Incident, Regulatory, and Claims Administration

  • Assist with processing and documenting workplace injuries, vehicle accidents, utility strikes, property or equipment damage, and near-miss incidents.
  • Collect and organize reports, photographs, witness statements, medical documentation, job records, and other supporting information.
  • Maintain incident files and follow up to ensure required information, investigation steps, and corrective actions are completed.
  • Assist with OSHA recordkeeping, including OSHA 300 logs, 300A summaries, and supporting documentation.
  • Support workers' compensation claim administration and communication with managers, insurance carriers, medical providers, and third-party administrators.
  • Help coordinate post-incident drug and alcohol testing when required by company policy.
  • Maintain written safety programs, safety data sheets, inspection records, and documentation requested for internal, regulatory, or insurance reviews.
  • At least two years of experience in safety administration, occupational safety, environmental health and safety, compliance, workers' compensation, fleet safety, or a related role.
  • Working knowledge of workplace safety principles and the ability to recognize when an issue should be escalated.
  • Excellent interpersonal and social communication skills, with the ability to build productive relationships with field employees, supervisors, managers, and outside partners.
  • Strong administrative, organizational, and office-management capabilities.
  • Exceptional attention to detail, accuracy, and document control.
  • Demonstrated persistence and follow-through when managing deadlines, missing information, and open corrective actions.
  • Strong written and verbal communication skills and the ability to communicate expectations professionally and respectfully.
  • Proficiency with Microsoft Excel, Word, Outlook, PowerPoint, and electronic recordkeeping or job-management systems.
  • Ability to manage multiple priorities independently, exercise sound judgment, and protect confidential information.

Preferred Qualifications

  • Associate or bachelor's degree in occupational safety, environmental health and safety, business administration, human resources, construction management, or a related field.
  • Experience supporting safety programs in plumbing, construction, utilities, transportation, field services, manufacturing, or a similar environment.
  • Familiarity with OSHA recordkeeping and excavation and trenching requirements, including 29 CFR 1926 Subpart P.
  • Experience with construction documentation, digital job-management systems, and photo or paperwork audits; ServiceTitan experience is strongly preferred.
  • Basic understanding of excavation methods, soil classifications, protective systems, and competent-person responsibilities.
  • Experience assisting with incident investigations, workers' compensation claims, or fleet-safety administration.
  • OSHA 10-Hour or OSHA 30-Hour certification.
