Responsibilities
- Greet patients warmly upon arrival, verify insurance information, and update electronic health records (EHR system).
- Manage appointment scheduling using medical office management software.
- Verify insurance coverage and perform insurance eligibility checks, including VSP, EyeMed and other third-party payers.
- Handle multi-line phone systems professionally, answering inquiries about appointments and general information with excellent phone etiquette.
- Maintain organized medical records and ensure proper filing of patient documents in compliance with health information management standards.
- Assist with intake procedures such as patient registration, collecting demographic data, and updating medical history forms.
- Process contact lens orders.
- Prepare patient folders with demographic information, type of visit and insurance verification information for Doctors prior to scheduled appointments.
- Collaborate with Doctors and other staff to facilitate smooth patient flow and ensure timely appointment start times, and address emergency or other patient concerns.
Skills
- Proven experience in a medical office setting or healthcare front desk role, preferably within ophthalmology.
- Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel) and office management software. Experience with EHR system(s) a plus.
- Exceptional customer service skills with the ability to handle sensitive information discreetly while maintaining professionalism.
- Bilingual abilities are highly desirable to serve diverse patient populations effectively.
- Strong organizational skills for managing appointments, documentation review, filing systems, and multi-tasking in a busy environment.
- Knowledge of HIPAA regulations to ensure patient confidentiality at all times.
- Experience working with multi-line phone systems and handling high call volumes efficiently.
