What are the responsibilities and job description for the Facilities Coordinator position at Rotary Botanical Gardens?
Position Overview:
The Facilities Coordinator ensures the smooth operation and presentation of Rotary Botanical Gardens’ facilities, with a primary focus on event setups/breakdown, maintenance, and vendor coordination. This role is critical to creating a welcoming and functional environment for guests and staff.
Key Responsibilities:
Event & Rental Support
- Lead setup and breakdown of tables, chairs, and equipment for weddings, meetings, and other events.
- Ensure facilities are event-ready (cleanliness, lighting, HVAC, etc.) before guest arrivals.
Facility Maintenance
- Perform daily upkeep of all RBG buildings, including:
- Parker Education Center
- Horticulture Building
- Comfort Station
- Tasks include floor care (e.g., waxing, mopping), window cleaning, trash removal, and restroom checks.
- Assist with seasonal duties, including Holiday Light Show prepartions (e.g., snow shoveling, salting walkways).
Vendor & Supply Coordination
- Serve as on-site point of contact for third-party vendors (cleaning, repairs, deliveries) when the Operations Director is unavailable.
- Monitor inventory and replenish building supplies (janitorial, lighting, HVAC filters) as needed.
Safety & Guest Experience
- Conduct routine facility inspections; report hazards or repairs to the Operations Director.
- Interact professionally with visitors, volunteers, and staff to address facility needs.
Qualifications:
- Experience: Demonstrated experience in facilities maintenance, event setups, or related roles.
- Skills:
- Strong organizational and time-management abilities.
- Ability to lift/move event equipment (50 lbs) and work outdoors in all weather.
- Basic knowledge of building systems (HVAC, plumbing, electrical) is a plus.
- Schedule: Flexibility for early mornings, weekends, and occasional on-call duties.
Reporting & Relationships:
- Reports to: Operations Director
- Collaborates with: Events team, Rentals Manager, Horticulture staff, and external vendors.
Physical Requirements:
- Must be able to stand, bend, and walk for extended periods.
- Comfortable using ladders, power washers, and other maintenance tools.
