Key Responsibilities/Essential Job Functions
- Provides direct confidential support to the General Manager, including all administrative duties as they relate to RIS.
- Uses discretionary judgment in executing duties to achieve the business goals of the company.
- Handles and maintains a wide variety of sensitive and confidential information.
- Coordinates and administers the execution of corporate documents and/or requirements such as correspondence, memorandum, reports, documentation, invoices, proposals, business plans, meeting notes and other documents, presentations, etc. Prepares and maintains daily, weekly, monthly and quarterly reports, as required. Reviews and analyzes information before submittal.
- Reads and analyzes incoming correspondence, submissions, and reports to determine their significance and determines distribution thereof.
- Answers and screens telephone calls, provides information to callers, takes messages, or redirects calls to appropriate individuals.
- Prepares agendas and make arrangements for various meetings, i.e. room, food, attendees, etc.
- Provides administrative support, i.e., copying, filing, faxing, distribution of mail, scheduling meetings, making travel arrangements, etc.
- Coordinates and administers the execution of the C3 Program.
- Handles and maintains the RIS Medical Surveillance Program.
- Provides back-up assistance to other executive assistants within the organization.
- Daily use of advanced PC and business computer applications, telephone conferencing and e-mail.
- Understands both RIS’ ISO 45001 Occupational Health & Safety and ISO 14001 Environmental Management Systems, and assists with executing their objectives.
- Performs other job-related duties assigned.
Minimum Qualifications
- Associate Degree in a related field and 5 years’ experience in a similar role. Equivalent training/experience will be considered.
- Must be capable and willing to assume additional responsibility. Must have exceptional administrative skills. Position requires exercise of discretion, confidentiality, independent judgment and ability to work with minimum supervision.
- Must possess excellent communication (verbal and written), organization, planning and interpersonal skills.
- Must possess strong work ethic and commitment to quality.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook). Must be able to develop complex reports, analyses and other documents in a timely and quality manner to meet operational and customer needs.
- Must be organized, analytical, flexible, detail-oriented, customer-focused and have excellent information-gathering and information-monitoring skills.
